The Challenge
UC Berkeley faced an aging set of paper-based and email-driven processes used by students, faculty, and staff to request a wide range of academic and administrative actions. Manual routing, duplicate data entry, and inconsistent approvals slowed turnaround times and introduced errors. The university needed modern self-service that could scale across many different workflows without modifying its delivered PeopleSoft Campus Solutions environment.
The Solution
UC Berkeley partnered with Gideon Taylor to deploy GT eForms, a configuration-based bolt-on built natively on PeopleTools. Using PeopleSoft Fluid User Interface, the Approval Framework, Fluid Approvals, and PeopleSoft Security, the SIS eForms team launched a portfolio of self-service forms with no modifications to delivered PeopleSoft objects.
Forms delivered to the campus community include:
- Emergency Loan requests, with 30–40 automated edits enabling fully hands-off processing for qualifying students
- Graduate Committee selection and management
- Academic program changes
- Class add, drop, and university withdrawal requests
- Exception petitions
- Faculty course catalog change requests
- Grade change requests
- Graduate re-enrollment requests
Results and Impact
- More than 250,000 paper forms eliminated
- More than 500,000 pieces of paper eliminated
- Thousands of person-hours saved annually across SIS and academic departments
- Fully automated Emergency Loan processing for qualifying requests, with no human intervention required
- Faster turnaround and fewer errors through intelligent validation
- Zero modifications to delivered PeopleSoft objects, preserving the upgrade path
