Automating the Annual Curriculum Review & Refresh powered by GT eForms (feat. University of Nottingham)

The University of Nottingham has been using GT eForms for the past year to transform tedious manual tasks into powerful, efficient automated solutions in PeopleSoft Campus Solutions. Join us for an insightful demo and discussion of their new Annual Curriculum Review and Refresh solution!

Ensuring the accuracy of information in the online course catalog is crucial for compliance with the Competition and Markets Authority (CMA) regarding consumer law, enhancing the student experience, and reducing errors in progression and award calculations and exam scheduling. Previously, updating the curriculum involved:

  • Academics creating ‘track-changes’ Word documents
  • Administrative staff interpreting these documents and inputting changes into Campus Solutions
  • Academics verifying the administrators’ work

This manual process was error-prone and time-constrained due to external authority deadlines and the need for timely information for timetabling. With hundreds of staff at the University involved, numerous errors occurred complicating various processes.

To address this, UNottingham implemented a workflow-enabled GT eForm and custom self-service application. Now, academics submit changes directly into Campus Solutions, which are processed through an approval workflow. Upon final approval, changes are automatically integrated into Campus Solutions. This solution has enhanced data quality and accuracy, reduced errors and significantly shortened the time required for this process.

This presentation will outline the initial challenges, the implemented solution, and the resulting improvements in data quality, error reduction and process efficiency.
