The Challenge
Western University needed better visibility into their self-service expense claim processes. Like many institutions, they faced challenges monitoring transaction volumes, identifying workflow bottlenecks, tracking processing times, and detecting issues like delayed approvals. Faculty, staff, and students lacked real-time visibility into claim status, leading to uncertainty and frequent follow-up inquiries to the help desk.
The Innovation
Western University deployed PeopleSoft Insights to create a custom dashboard with six interactive visualizations monitoring self-service expense transactions. The solution provides comprehensive analytics including transaction volumes, claim status, error and correction rates, and time-to-completion metrics.
A key innovation is the implementation of row-level security within the search definition, allowing faculty and unit administrators to filter by department, project, approver, status, or claimant. This empowers different user groups to access the specific insights they need while maintaining appropriate data security.
