NASHVILLE, TN - With the help of Gideon Taylor, the State of Tennessee recently launched its latest eForm solution: a new Benefits Enrollment eForm for their non-payroll population. The result? A whopping 700% increase in productivity!

The State of Tennessee’s Benefits Administration (BA) office administers a customer service center that serves over 300,000 state, higher education, and local government employees. The State uses PeopleSoft’s eBenefits self-service to enable benefits selections for its direct employees but had relied on a custom solution to allow retirees and ‘non-payroll’ employees to enroll in benefits. Each year, this custom solution processed approximately 34,000 enrollment and change actions, with over 40% of those requiring correction or additional documentation, many that couldn’t be completed with the initial request, and hundreds of thousands of dollars spent on help desk services to support password resets and questions arising from these once-a-year actions. Each Benefits Coordinator in the BA office could process an average of 35 forms per day.

The new Benefits Enrollment eForm has changed all of that through intelligent automation. Having previously automated personnel actions with GT eForms™, the State designed the benefits enrollment process to automatically trigger from a completed Hire eForm. When approvals are complete, the Hire eForm creates the Job Data record to hire the employee, which in turn triggers the on-demand event maintenance process in PeopleSoft to determine the benefits plan for which the new hire is eligible.  After the event maintenance is completed, it auto-generates the enrollment form with the benefits plans that are available for the employee.  The Benefits Coordinator completes the enrollment form and on final approval the form populates the information into the on demand event maintenance tables and processes the enrollment.  

With pre-population, built-in edits and validations, automated workflow, and direct integration with the State’s core benefits system, the impact of the new eForm solution has been transformational, resulting in far fewer calls to the helpdesk and much faster enrollment processing. Now, those 35 forms that used to take a Benefits Coordinator the entire day to process can be handled within the first hour. With a 700% boost in productivity, imagine what you’d be able to do with all of those newly-available hours!

GRAND RAPIDS, MI - With an enrollment of almost 18,000 students, Grand Rapids Community College in Grand Rapids, MI has plenty of processes that have traditionally relied on paper, ‘Sneakernet’, and non-integrated online forms. But that’s all about to change.

Starting in early 2017, GRCC will be implementing GT eForms™ within its PeopleSoft HCM, Financials, and Campus Solutions environments. They’ve identified two widely-used processes to automate initially:  Leave of Absence (LOA) and Time Reporting. As a relatively easy form, GRCC’s team will use the LOA form to get familiar with the GT eForms™ toolset. The College currently has an online version of the LOA form that was created with a third-party tool outside of PeopleSoft. The solution is difficult to modify and a challenge to maintain. GT eForms™ will allow them to configure a flexible, intelligent, user-friendly form natively-integrated within PeopleSoft, and primarily created and managed by functional analysts.

Similarly, GRCC’s existing time reporting solution relies on an Excel spreadsheet and workflow tool that reside outside of PeopleSoft. Compatibility issues are a continual struggle, and certain computers aren’t even able to use the solution. As a PeopleSoft-based solution, their new GT eForms™ timesheets will be simpler to use, easier to manage, and fully-integrated within their PeopleSoft environment and workflow.

As they gain experience with the tool, GRCC is eager to use it to create more complex forms, including automating personnel actions for their staff, faculty, and student workers.

Gideon Taylor is pleased to announce that Hennepin County, MN recently licensed GT eForms™ to automate HR and finance processes within PeopleSoft. The County has enlisted Gideon Taylor consultants to begin the analysis and design of their first three targeted forms to (1) request approval to use a personal vehicle and expense parking for business use; (2) change or cancel participation in the personally-owned mobile device program; and (3) request or update a stipend for a personally-owned smartphone.
 
These first three forms that the County has identified for automation are relatively simple processes, and will be used largely as training opportunities for the County’s staff to understand how to efficiently and effectively use the GT eForms™ form builder within their PeopleSoft environments. Gideon Taylor consultants will create the first form for the County; work with the County’s team on creating the second form; and provide guidance on the third form as the County builds it themselves.
 
Four years after first being introduced to GT eForms™, the County finally decided to take the plunge and is looking forward to streamlining its processes and improving productivity with the new eForm solutions. “Hennepin County is excited to partner with GT to reduce our manual paper processes and increase our efficiency across our PeopleSoft environment,” commented Ray Hirte, PeopleSoft ERP Program Manager at Heppen County.
 
Once the initial forms are complete, the County will be using GT eForms™ to automate a variety of processes and forms, ranging from simple to complex, including personnel actions and security access requests.

While GT Action Center™ and GT Analytics™ have been around for years, they've only recently been upgraded to take full advantage of the GT eForms™ 3.0 framework.

Two clients have recently implemented GT Action Center™ to manage high-volume approvals for their new 3.0 forms. The Action Center provides a powerful tool to review and process many forms at once. Instead of having to go into each individual form to review and take action, the Action Center provides a summary view of all of the forms in an approver’s queue. From the Action Center list, the user can choose which forms to take action on, and what action to take. Each individual eForm is represented by a bar on the list (or table), with enough summary data to allow the approver to take action, whether that’s to approve, deny, recycle, hold or another action. Actions can be taken on a single form or on many forms at once, and they don’t all have to be the same action. Individual actions can be selected for each form.

The example below shows a queue of eForm timesheets awaiting approval. (Scroll down for details on GT Analytics™.)



GT Analytics™ will be making its 3.0 debut as part of a large ePAF™ implementation that will be wrapping up in January 2017. GT Analytics™ (included as part of the GT eForm Library™) provides a simple way to monitor and report upon the workflow queues associated with eForms. This powerful tool searches eForms based on criteria such as form type and status, date ranges, participants, etc. and shows summary charts and eForm details of the search results. Charts provide your managers a visual picture of your automated processes, with graphical comparisons to the broader organization. Examples of reports include:

  • eForms Aging Report – Lists eForms that are pending by their age.
  • eForms Error Report – Lists eForms that are currently in an error state.
  • Average Cycle Time – How long a form takes to go from initiation to system entry.
  • Average Response Time – How long on average the participants in the eForm process take to act on an eForm.
  • Error Rate – Percentage of eForms that have been in an Error state at some point.
  • Correction Rate – Percentage of eForms that have been Recycled, Resubmitted, Withdrawn or Denied. An abnormally high rate can indicate a training need.
  • Form Type Distribution – Graphical display of eForm traffic in the organization or a subset thereof by Form Type.
  • Aging Summary – Bar chart of the number of eForms transactions that are in process by how old they are.

MINNEAPOLIS, MN – Xcel Energy recently celebrated the launch of their new ePAF™ solution, automating a wide range of personnel actions within their PeopleSoft HCM system.  Replacing forty-one (41) different forms and manual processes with three (3) intelligent eForms, Xcel’s new system simplifies complex transactions and reduces the time and effort required for managers to initiate and execute job changes, status changes, and personal data changes for their entire workforce, including bargaining and non-bargaining employee groups as well as contract workers.

The new forms are designed to do more than just capture basic data inputs. With configurable logic, they enable Xcel to efficiently and effectively manage unique compensation rules for the different populations, as well as the collection of other data specific to the type of Job each person performs.

Working with Xcel Energy staff, Gideon Taylor designed an ePAF solution that automatically determines the type of compensation the employee is eligible for – hourly or salary, including non-base and associated premiums – based on the employee group. The forms also conditionally-display compensation for the base job and any non-base jobs, including premiums.  This complex pay process is simplified even further by edit rules that only display the non-base compensation if it applies to the particular employee. It’s a huge benefit for transfer actions, ensuring that non-base jobs are also reviewed and updated when an employee’s base job changes.

The forms are also designed to capture additional information beyond Job Data, streamlining the process for the hiring manager. Additional details can include required training, pandemic codes, and safety positions.

The next phase of functionality that Xcel Energy is poised to rollout is a new automated hire form to simplify and streamline the hire process for new employees and contractors.

When you are trying to promote a new idea, like automating eForms, understand 20% of people you present your idea to will hate it.  However, don’t let this discourage you!  Not everyone in your circle of influence is going to support your ideas, and it's unrealistic for you to expect them to.  Lack of support has more to do with their personality than your idea.

You may have heard of the Pareto Principle known as the 80/20 rule that states roughly 80% of the effects come from 20% of the causes.
Examples include:
  • 80% of sales come from 20% of the salespeople
  • 80% of customer complaints come from 20% of the customers
  • 80% of the work is done by 20% of employees.
There is another rule, that is a variation on the Pareto Principle, and it's just as powerful. It's called the 20/60/20 rule. Applying this rule can help you sell people on your ideas and help you focus efforts where they will produce the best results.
The 20/60/20 rule applies to people and relationships.  When you discuss your business idea with a variety of people, the group may include potential clients, vendors, family members, or even the guy at the bar. Based on the 20/60/20 rule you will get the following results:
  • 20% of the people will immediately be on board with your idea
  • 20% of the people will immediately be opposed to your idea
  • 60% of the people can be influenced one way or the other depending on future interactions
Let’s look at each of these groups:

The Positive 20% - This group already has an understanding or a viewpoint that is in complete alignment with what you are proposing. You don't have to "sell" them! They already understand and support your idea. This could be the future customer who can’t wait to buy your product or the family member who has wanted you to pursue your dreams for a long time.

How you approach them with your business idea - Leave this group alone or else you might lose their support! Don't over sell them or spend a lot of time influencing or persuading them........they are already on your team.

The Negative 20% - This group already decided before you even opened your mouth that they hate your idea.  The responses from this group will be despairing, negative comments because they are not risk takers.

No matter what you do, you will not be able to convince this group that you have a good idea. Do you have anyone like this in your life?? I bet you do! And I bet they are in every group in your life!!

How you approach them with your business idea - Ironically, the approach here is the same as the positive 20%. Leave this group alone! All of your efforts in persuading this group will be wasted. The only outcome for you will be frustration and wasted time and effort. Time and effort that could have been applied to the 60% group.

The 60% that can be influenced - Here is where you can make a difference! The 60% in the middle can be convinced one way or another after the initial interaction. This group’s decision will depend more on the presentation of additional information and their own individual processing. If you want to convince people of your business idea this is where you want to spend your time and effort.

Once you identify this group, you should spend the majority of your time with them finding out why they are "on the fence." Listen to their concerns and give honest answers to their questions and concerns. What do they like?  What don’t they like? How would they approach it? Listen to their ideas and if the ideas make sense incorporate them in your business plan.  In most cases, people don't expect all of their ideas to be incorporated. Most people just want to be heard and to know that their opinion is valued and respected.

How you approach them with your business idea With focused attention and genuine interest in their input, you should be able to get the majority of the 60% to move over in the positive category.

Knowing how to efficiently use your time to generate the best results is a business skill that can be developed. Applying the 20/60/20 rule is a great tool to determine who to spend your time with and where in order to generate the biggest base of support for your business idea!

PeopleSoft’s Approval Workflow Engine (“AWE”) is a powerful tool, but it’s traditionally limited to the domain of developers to implement workflow for PeopleSoft applications. The newest release of GT eForms™ however, gives business analysts reasons to celebrate! As a PeopleTools-based bolt-on, GT eForms™ uses AWE and adds an intuitive configuration layer to allow business analysts to setup workflow paths, email notifications, and even conditional routing logic. It also adds a lot of really cool functionality to make AWE even better.
 
We recently compiled our Top 10 list of “Ways that GT eForms™ puts more AWEsomeness in AWE”: (cue drumroll)
 
GT eForms…     
  1. Ties AWE into the eForm application automatically, so no technical work is necessary to set up workflow routings.
  2. Gives functional analysts easy setup of enhanced conditional rules within each form to guide who the form goes to and under what conditions.
  3. Provides a visual log of every action taken on a form, even if it is resubmitted, recycled, or modified by an eForm Administrator. (Any of these actions would normally start the AWE process over and therefore cause the original visualizer data to disappear).
  4. Gives users the ability to 'Recycle' a form, sending it back to the initiator. (This is not an option in delivered AWE, but is enabled with GT eForms™ by starting a new thread while retaining all the data about the form.)

When starting an automation project, clients like to know what they can do to prepare their teams and processes for success. Since the success of a project has a lot to do with team members working towards a common goal and having enough information to quickly make design decisions, there are things that can be done before kick-off to ensure the team will have what they need to keep the project moving in the right direction.

Communicate project goals and approach clearly.
 
It's easy to agree that everyone needs to know what the goal of a project is and what the approach will be, but the information that is passed on often changes, losing the emphasis of the most important factors. Without the details, it's easy for project team members to feel their duty is to represent their own interests against all odds, which can result in looping conversations and indecisiveness when important decision points arise.
 
Most projects are approved and measured at a strategic level. An understanding of the factors and limitations that are important to the measured success of the project will help a team drive toward decisions that represent the best interest of the project.
 
Though it may be tempting to have a bunch of snazzy functionality included in the form, understanding the project resource limitations goes a long way in giving a project team the information they need to recognize when project scope is maxed out and gives them the right framework to prioritize needs when hard decisions have to be made.
 
Make sure the right players know the right players.
 
Though it makes sense to staff a project with those who know the most about the process, that isn't enough. From experience, the "right players" seem to be those who not only understand the details of the business process but, more importantly, understand when additional input is needed and can involve the right resources for quick and accurate information and analysis.
 
During an automation project, each piece of the process is examined in deep detail; it's common for unexpected topics and questions to arise. Even the most seasoned team may not have ready answers for how to best determine security access for each individual or how to most succinctly restrict values for different populations in a particular scenario.
 
Projects can keep their momentum up if a project team can quickly address process and design challenges by having the right resources at hand to supply information and foster contact with additional resources as needed.
  
Mind the gaps.
 
Inconsistencies and process gaps are hard to code around and can turn into pain points when automating a process, especially if discovered later in the design/build process. There is a tendency to hope that automation will magically fix problem areas when, instead, it can often highlight them. A project can get stuck at points like these, which then puts pressure on the team to reconfigure the design quickly, sometimes causing an overly-complex solution in order to simply keep the project moving.
 
An early and candid look at the problem areas in an existing process can reveal those spots that will need extra attention or early discussions and solutions so that unnecessary steps and complexities can be avoided. It gives the team time to at least consider any changes to the existing process that may help create a smoother and more efficient automated process. 
 
Prepare with copies of real scenarios.
 
Having a collection of real examples is one of the best ways to talk through a design for review and approval and prepares the project team with test scenarios to include during testing phases. When automating a currently-paper request form, for example, clients are encouraged to save copies of the existing forms being processed as soon as the decision to automate is made.
 
This gives a project team the ability to use real data as a reference when making important design decisions. Having a reference library of data that supports the scenarios being discussed can help reveal areas that may be commonly problematic so that effort can be focused on smoothing out those parts of the process.
 
When it comes time to test the solution, this also gives the team the ability to test against real scenarios rather than constructed tests which tend to be built to requirements and tend to pass, but don't generally help to test how thoroughly a process was automated.
 
By taking these steps early in the automation process, a project team should be better equipped to understand the magnitude of a project, design a balanced and efficient solution, and hit the intended goals for a successful project.

The University of Oklahoma’s (“OU”) recent implementation of Taleo includes some exciting new eForm integration between the recruiting solution and the University’s core PeopleSoft HCM. OU worked with Gideon Taylor to create a new Position Description eForm using GT eForms™ to streamline and simplify the process of creating and managing position descriptions.

During planning and design for the Taleo implementation, OU recognized that there was no delivered functionality for creating and managing position descriptions. As a critical requirement for OU, the University evaluated using the PeopleSoft Forms and Approval Builder tool delivered in PeopleSoft HCM 9.2. After working with the tool, they realized that, although the PS Forms tool may be sufficient for creating simple forms, it lacked the functionality to automate the complex, enterprise-level business processes the University of Oklahoma needed.

As a long-time user of Gideon Taylor’s ePAF™ (electronic Personnel Action Forms) and Paperless I-9/E-Verify solutions, OU had experience automating complex processes and workflows with GT eForms™, and called upon Gideon Taylor to review the requirements for the Position Description process. They were anything but simple. OU wanted the form to respond dynamically to user input including dynamically hiding/displaying certain fields and segments based on business requirements; auto-populating fields; actively validating data input; restricting prompts to only present choices relevant based on specific jobs, positions, or departments; and intuitively guiding the user through the process. They also had very specific routing requirements that would be triggered by data and conditions within the form.

GT eForms™ provided the functionality and flexibility to meet all of the university’s requirements.
OU relied heavily on Gideon Taylor’s experience in designing intelligent, automated solutions to deliver an intuitive user experience for a complex process. The new eForm that OU and Gideon Taylor created enables department users to efficiently and effectively manage position descriptions, including updates to existing positions and the creation of new positions. The forms then automatically route for the necessary approvals, with the position description data stored in a custom setup table.

The form features optimized lookups and auto-population to aid users in completing the form quickly, easily, and accurately. The form also accommodates very long text fields to support all the necessary detail for position descriptions. As a GT eForms™ solution, OU’s new Position Description form can be readily configured to respond to new requirements and changing processes as the business evolves.

In addition to the new position description functionality, users get the added benefit of a new simplified process to create a new job posting. Using PeopleSoft’s delivered Web service functionality, a job template can be generated from data in the Position Description eForm, saving considerable time and effort for the user.
OU describes the solution as ‘ground-breaking’. “GT eForms™ provided a framework and toolset to rapidly and cost-effectively develop functionality that didn’t exist in either Taleo or PeopleSoft,” commented Paul Arcaroli, Assistant Director for Human Resources at  OU. He was also quick to add, “But it’s not just the tool. Gideon Taylor’s partnership and expertise in assessing the business process requirements and designing a solution that could accommodate our complex requirements was a key factor in our success.”

As a consultant, there are times when a client asks for a feature to be built that is not in their best interest and the challenge is always: do I just do it or advise them against it?   This is never easy because, as a consultant, you are supposed to give the client what they want; after all, it is their money.   I gave them what they wanted without question for years and then, one day, I awoke to the fact that an excellent consultant provides leadership to make good decisions and sometimes that decision is 'No'.  But then I was faced with the challenge of how to WOO (Win Others Over) them into making a decision based on information; not emotions.  That is when I started providing them an informed decision document on key requirements so they could have the information to make decisions for their organization.

Persuasion is key to the informed decision document.   In our business, persuasion is a process aimed at changing a person's (or a group's) attitude or behavior toward our Vision (ideas) by using written or spoken words to convey information, feelings, or reasoning, or a combination thereof. 

To persuade someone, you must understand and address the “real reasons” that the person has made the request and address those.   Using logic will not persuade the person if the reason for the request is emotional instead of logical.   Take time to understand the “real reasons” so you can focus the informed decision document on those reasons.

An example of this was a client who wanted to add complex logic to determine when a field would be open for update by the HR group.  The real issue was that they did not trust their HR team to only update the field when needed.   In the informed decision document, I provided them information on the cost of this edit vs. the risks of someone updating it incorrectly.  Once they saw the whole picture they decided that providing a job aid was more cost effective.  In a follow up after 6 months of production use, the error they were so concerned with had not happened.

The best part of using the informed decision document to assist your client in saying 'No' is that it builds trust in your leadership and guidance, resulting in a team-focused project that the client can feel comfortable taking ownership of.

Migration of records can cause some real headaches. This article covers PeopleSoft’s migration defaults and behaviors for records within Application Designer, as those are particularly troublesome objects for migration so that the developer / database admin may make informed migration choices.

Definitions
A record reference within a project refers to a record object by name, without a reference to field. Line one in the following image is a record reference:

Comparing
Compares are useful for preparing a migration, but should be run at the appropriate time and under the appropriate circumstances. Here are some principles to keep in mind when comparing a project with records in it:

  • Compares reset flags and actions. Once a project’s flags have been set as desired, compares should be avoided, unless the developer is willing to recheck / reset all flags again.
  • Record field changes do not show up in compare reports. “Compare report” refers to the diff file that shows up in Application Designer, like this:

There are some important things to notice about the situation pictured in the image above:
    • The record reference comparison displays as Same / Same, even though there are record field differences between the two environments. Record reference changes only show for record property value changes, such as description changes and supported db platform changes. (Record property value changes are also the only changes that show up in a compare report for record references.)
    • Delete flags are not selected by default when comparing records between environments. This is good as it makes it more difficult to accidentally drop data in the target environment, but can be a problem when trying to migrate data into the target, as Data Mover scripts will fail with either extra or missing fields.
  •    Comparing with a record reference in the project removes record field references.  Before compare:

Inserting
Just as comparing with a record reference in a project removes record field references, inserting a record reference into a project definition removes record field references.

To insert record field references:
  • Navigate to Insert > Definitions into project
  • Specify field values as follows:
    • Definition Type:  Records
    • Name: [Record name]
  • Select the following:
    • Select the record name in the "Record Name" box
    • "Record Fields" in the "Related Definitions" box
  • Click "Insert"
 
Copying
The main principle to keep in mind when copying a record to a database is whenever a record reference is included in a project, the entire record is copied as is, regardless of any record field instructions.  This means that the following principles apply:
  • Record field instructions in the project are ignored, even when set explicitly, such as a “Delete” action.
  • Fields previously missing / removed in the target environment will be added (or re-added).
  • ​Fields previously added in the target environment will be removed.

With those principles in mind, the following scenarios will all result in a record in the target environment with only the RMT1 field in it having the RMT2 field added to it after it has been added in the source environment:





The following scenarios will result in the RMT2 field being removed from the record in the target environment when it has been removed from the source environment:





Here are other copying principles to keep in mind:

  • Copying all of the record field references for a record does not copy the record definition. In order for the record definition itself to be copied, a reference to the record must be included. For example, if the following project were migrated, clicking on one of the RMT record field references in the target database would display the following error:
  • Using the CopyProp action does not copy a record definition or record fields. The "Copy" action copies record properties, as well as all of the source database’s record fields, but CopyProp copies only the record properties. In that case, any desired record field changes must be handled individually through project record field references.

    In the four scenarios below, the first two would result in the removal of an extra RMT2 field in the target database, while the last two would not.
 




  • In order to remove a field through migration, a project reference must exist for the missing record field. This is an issue when a field is removed from a record and the edit is not captured in the desired migration project. Inserting record field references to the project as described above won’t work, as the field is already missing.  To include a record field deletion in a migration project, use one of the following methods:
    • Merge in a reference from an existing project using File > Merge Projects. Be careful to include only the desired project references in the merge’s source project. It may help to
    • Copy the entire record as is by including the record reference in the project.
    • Add the desired field to the record and remove it while inside the project with Tools > Options … > Project (tab) > Insert Definition into Project (box) > “When definition is modified and saved, or deleted” selected to capture the change:

Introduction

You run a business office in a large enterprise, and you have finally had it up to here with paper forms, fillable PDFs, emailed spreadsheets, and scanned attachments sludging across your desk and through your inbox, haphazardly collecting signatures, before being painstakingly pecked a key at a time into your business system. You’re done with two-week lag times to get something in the system, done with “do you have my form yet?” voicemails, done with re-keying data, done with bulging filing cabinets.

It’s time to finally automate your business processes! Time for workflow, time for eForms, time for electronic signatures, time for scripts that do all the data entry! It’s finally time… to fail!

Now, automating your high-volume business processes is definitely a good idea. Computers have been doing repetitive tasks faster than humans for a long time now, and your humans have more meaningful things they could be doing. Automation is undeniably the right thing to do, but there are so many wrong ways to do it! Let’s explore four ways to blow your business process automation project.

#1 – Be Ambitious

You’ve finally got funding, available business and IT resources, and a lull in the upgrade calendar. You have eleven high-volume paper processes, and their transaction loads ride your poor staff like a sumo wrestler rides a goat. This is your moment – automate them all in one fell project!

That should read, “one fail project.” Who is going to be providing the subject-matter expertise to the automation project? Your staff. Who is going to review and sign off on the design, perform system tests, and train users on the new system? Your staff. And who is still trying to hold up under the paper avalanche of your legacy processes while the automation project cranks along interminably? Still the same staff.

Certainly you want to automate all eleven processes, just not all at once. Get a few processes done and in production fast, and free up some staff time so the next project phase doesn’t take as much overtime.

The biggest cost of an automation project is not having it live yet. If automating the first three processes is going to save you $60,000 per month, every month you delay going live with them while you work on the others costs you $60,000. Additional go-lives do add project cost, but that cost can be more than offset by the benefit of being live sooner.


#2 - Automate Every Transaction

Now you’ve nimbly dodged the first pothole by only selecting three of your eleven processes for the first project phase. You’re excited to free your staff from the toil of manually handling all those transactions, especially the thorny occasional exceptions your people really hate because they take five times longer to handle than the rest. Pothole number two, dead ahead.

I’ve seen an automation project double in length, just trying to automate the last 5% of the transaction load. Once you get past the bulk of the transactions that are all pretty straightforward and start trying to automate exceptions that only happen periodically, as shown in the illustration, the complexity of the solution starts to increase exponentially.

Not only can the project go long trying to automate complex exceptions, you can end up complicating the simple transactions, and adding more long-term maintenance overhead.

Do the easier stuff, and go live with it. The exceptions can either wait for another project phase, or they may just be the stuff best suited for humans to handle.

#3 - Do it Right the First Time

Now that the stars have finally aligned and you are doing your automation project, you don’t want to do it half-baked, do you? You may never get the chance again to add the extra features, the clever edits, the gravy integrations, the superfluous notifications, the gold-plated cupholder. Go big or go home, right?

As a business process automation consultancy, we have worked with several clients who have insisted we build complex edits, checks, and features to handle every exigency. Our team has reviewed some of these systems in production use and found that as much as half of the code we wrote is never fired. The business user community migrated quickly toward what worked best and fastest, and ended up never needing the nanny edits and shiny toys that cost so much project time and dollars.

In most cases, even a simple automated process will be much more effective than the manual process it replaces. One client sponsor, toward the end of a project much prolonged by demands for a few more features before go-live, said, “We’re replacing a piece of paper. How many features does it take to beat a piece of paper?” Yet their organization kept using that piece of paper months longer, trying to agree on a few more bells and whistles for the automated process.

Build a simple process that is better than the one you’re replacing, and go live with it. Plan an immediate post-go-live analysis of how the system is used, followed by a scheduled update phase to implement the lessons learned. You won’t know for sure what edits and features are really needed until you see how the simple system gets used in real life. And as discussed in #1 above, the sooner your project goes live, the sooner it starts paying for itself.

#4 - Insist on 100% Stakeholder Buy-In

You’ve been fielding complaints for years from the various stakeholder roles and divisions you service about these clunky business processes. Every division and interest group in the enterprise forever wants you to cater to its specific procedures and eccentricities. This is your chance to finally make everyone happy! And by everyone, of course, I mean no one.

I’ve seen a six-month project stretch to two years, trying to get all six semi-autonomous divisions to agree on functionality and go live together. Each division knew the expectation was for a unified process, and that essentially gave each division power to hold the project hostage – every pet feature request became a “showstopper” they couldn’t go live without. The result was a system so complex that no one liked it – and ironically, it still isn’t used by all divisions.

By contrast, another organization had a business office that objected to the automation project and didn’t want to be included. Rather than make concessions to bring them on board, the project sponsors proceeded without them. When the solution went live, the process became many times easier across the enterprise – except for the population served by the holdout business office. Intense pressure landed on the holdout office, and within months of the initial go-live, they came to the sponsors asking to be included.

To avoid a hostage situation:

  • Strike a balance between rigid standardization and profligate customization. Giving stakeholders some common-sense concessions for unique needs can help get the project done faster, as long as the goal to get live soon and simple isn’t ceded.
  • Run a nimble, focused automation project that avoids the other pitfalls, and work first with stakeholders that share that vision as a ‘pilot production’ group. Other stakeholders who want good outcomes but fear failure will be assured by the initial success and join later.

In Conclusion

The best way to fail with business process automation is not to do it. The benefits of an elegant, workflow-enabled electronic form solution can be stunning: drastic reductions in turnaround time, error rates, and overall human effort; payoffs in customer service, better security, reduced liability, and freed-up resources who can focus on more productive work. Now that you know what not to do, it would be a shame not to try!

So you’re looking to automate. Great! Eliminating paper forms and manual processes can deliver huge benefits.  However, if automation is not done well, it can perpetuate inefficiencies with work and fail to reduce operating costs.

What are you looking to achieve by automating? Are you looking to reduce time and effort for your users? Save money? Improve efficiency? Eliminate errors? All of the above? If your answer is YES to any of these, it’s important to carefully consider the automation tool that you’re using.

For PeopleSoft users, there are plenty of options available to create electronic forms including:

  • Custom PeopleSoft development

  • PeopleSoft Forms and Approval Builder (“FAB”)

  • Non-PeopleSoft form tools (e.g. Perceptive, OnBase)

  • GT eForms™ (a PeopleTools-based bolt-on).

With any of these solutions, it’s important to recognize how far you can take the tool – where delivered functionality ends and custom development begins. For example, as a delivered PeopleSoft tool, FAB enables functional analysts to create their own forms.  However, FAB is essentially limited to putting fields on a page, setting up basic prompts, and defining a simple approval path. Anything beyond that is going to require custom development.

For years Gideon Taylor has been helping organizations efficiently and intelligently automate business processes. It’s not uncommon for us to encounter paper forms that can take users more than half an hour to complete. If those users are managers earning $70,000/year, each form is costing the organization over $16 to complete.

Let’s say your organization has 500 managers, and each manager completes five of those forms each month. That’s $40,000/month or $480,000/year in time spent filling out forms. Those figures don’t include the time to review, edit, enter, and file hard copies of those forms, all of which could more than double the cost per form. This scenario only accounts for one type of form. How many other forms does your organization use?

It’s tempting to look at automating complex processes like these because they can deliver the greatest return. But complex processes require robust solutions. Can you get there with your form-building tool?

If you’re limited to putting fields on a page, giving users a few basic prompts, and setting up a simple approval path, how much time are you actually saving the person completing the form? If your electronic form requires them to manually fill-in all of the same fields as the old paper form, is this new ‘online’ process any more efficient, effective, or accurate?  Optimistically, let’s say this reduces time/cost/effort by 5% per form because the person is a fast typist and they don’t have to use ‘sneaker-net’ to route the form for approval. That’s still a hefty cost of $456,000 per year to process your form, even AFTER you’ve automated it.

Now compare that to being able to create an intelligent electronic form that can simplify and streamline the process, doing much of the work itself. How much time could be saved? How much more accurate would your process be? How about your data?

Let’s now assume you have a PeopleSoft-based form builder that enables you to design an intelligent eForm which automatically populates relevant data when it’s launched (e.g. the name, ID, contact information, and department of the person initiating the form). The form automatically fills-in information about the ‘subject’ of your form (e.g. by selecting the name of an employee for a job change, the form populates with information about that employee’s current job, department, pay, supervisor, etc). The lookups in this ultra-efficient form only show the user the data specifically relevant to the department in which they work and the action they’re executing. Your form is also smart enough to conditionally displays certain fields and sections based on your unique business requirements or the user’s role in the process.

That’s the kind of form that can rock your world. One that can intelligently walk users through the process, completing whole sections automatically, validating data as it goes, routing to the right people at the right time, firing off email notifications, and then automatically updating PeopleSoft. Instead of 30 minutes, it takes 5 to complete. The impact? That savings of 25 MINUTES PER FORM is racking up savings of $420,000 per year. KA-CHING!

So, how can you make the most out of your next automation initiative? Take a look at your processes. Consider the manual effort required today and what could be achieved with intelligent eForm automation. Then, choose the right tool. It will make all the difference.

The University of Adelaide (Adelaide, South Australia) has been busy creating new eForms focused on improving efficiency within their finance operations. The new eForms include:

Account Code Change
  • Allows employees to change the account code(s) to which their salary costs are booked. This makes it much faster and easier to change when employees move projects or change funding, reducing the volume of journals needed to book salaries to the correct codes.
Temporary Transfer of Delegations
  • Allows delegation holders to temporarily transfer their delegations to a proxy when on leave. The single form allows transfer of finance, HR and manager self-service delegations. Provides a much faster and simpler process for delegation holders, and reduces risk by eliminating the manual process that was previously in place to remove the temporary access.
Finance Access Request
  • Allows employees to request or amend access to the PeopleSoft Finance system and automatically configures their profile based on the role(s) required. Provides a faster process which automatically checks to ensure appropriate segregation of duties, and provides greater clarity around training needs.
In addition, they're finishing development on a form to automate Titleholder Requests. This form will enable people who are working with, but not directly employed by the University, to apply for a title from the University. A separate workflow is also being developed to handle the periodic renewal of titles.

This summer, the State of Tennessee went live on its new ePAF solution – one ultra-efficient eForm automating over 89 different actions, including multiple types of hires, rehires, demotions, promotions, data changes, job reclassifications, pay rate changes, transfers, leaves of absence, retirement and terminations. With users initiating more than 1,300 eForms in the first 36 hours in production, it proved to be the largest volume of eForms processed so soon after go-live. When the full deployment is complete, it will serve over 40,000 employees in more than 50 agencies.
 
Single Search = Greater Efficiency
With the State’s new ePAF, users initiate a new form with a single search that determines if the employee is a new hire/rehire, transfer or existing employee. Rather than requiring the user to determine the appropriate form to use, the form determines what pages and fields to display based on the action being taken, whether that’s a hire/rehire, job change or status change. The single search has not only made the process more efficient, it has reduced training time as well as ongoing maintenance, requiring the State to maintain only one search instead of three or more. The intuitive design of the form and the single search has enabled the State’s department managers to initiate and execute forms without extensive training or documentation.
 
Increasing Productivity
In the first ten days, over 3,700 forms were created, over 1,600 executed, and more than 1,100 authorized during payroll lockout. Traditionally a time that required users to stop making updates to the system, the productivity they’ve gained during payroll lockouts has been an unexpected benefit for the State. Rather than requiring users to avoid those activities, they’re now able to continue initiating, reviewing and approving forms without pause. The approved forms are simply held in queue by the Integration Broker, and automatically update PeopleSoft once the payroll processes are complete. Those 1,100 forms that were queued during lockout? They executed in less than 7 minutes once the lockout was lifted.
 
“This is QUITE impressive on the numbers authorized during payroll lockout,” commented Sandy Graf, State of Tennessee ERP Director of Finance & Administration. “This is really going to make such a difference in the timeliness of transaction processing within state government.”
 
Leveraging PeopleSoft’s AWE
Approval routing with the State’s new ePAF solution is managed with PeopleSoft’s delivered Approval Workflow Engine. Integrated with AWE, GT eForms’ filters and Visual If technology enables business analysts to accurately and efficiently define conditional approval routing.

From the beginning, the project benefited from the State’s strong project sponsorship and leadership. The State recognized early on the benefits of keeping the form and the process simple, intuitive and uncluttered for the user. The project team consistently applied Gideon Taylor’s SEEF methodology – measuring decisions against primary design principles of Simple, Effective, Efficient and Flexible. The State of Tennessee wrapped-up primary development of its new ePAF™ solution earlier this spring, and is targeting late June to begin rollout to all of its more than 43,000 employees.

The project introduced a new approach to the ePAF™ solution. Previously ePAF™ was a suite of three integrated eForms – Hire, Job Change and Status Change. The user launched the appropriate form based on the action they wanted to execute. For the State, those three form processes are now consolidated into a single eForm, making the user experience even easier.

With the new ePAF™ solution, the user simply initiates the process with a ‘Search’ for the employee (based on name or employee ID). If the form doesn’t identify an active Job record, it automatically launches into the Hire process. If the Search returns an active Job record, the form will prompt the user to select what kind of action they want to perform, e.g. job change, termination, leave of absence, etc. The new form process takes full advantage of conditional logic to guide the user through the appropriate steps, and auto-populates as much data as possible so that the user input is minimized to only a few fields for whatever action they’re executing.

In addition to preparing for go-live on ePAF™, the State has also begun modeling their new GT OnBoarding™ solution. The initial phase of their automated onboarding process will focus on the basics. An onboarding portal will be created that will host a Welcome pagelet and video, as well as links to onboarding information and documentation. The new employee will be able to access agency-specific information for their new job through dropdown menus, managed within setup tables. This spring, Simon Fraser University went live on its new Grade Change Request eForm. The newest form for PeopleSoft Campus Solutions, the SFU’s Grade Change Request form enables instructors or department staff to submit a request for a grade change to a student’s academic record.
 
For SFU, the form is accessed through the Faculty Center as a self-service action. Based on the user’s login credentials, the Grade Change Request form automatically presents the instructor with a list of his/her classes and student rosters for the past two semesters, including the current grade associated with each student and whether a Grade Change Request is already in progress. The instructor selects the appropriate student (automatically populating the form with the necessary student data), and enters the revised grade, reason and any supporting comments. Once the form is complete, it routinely routes to a Department Chair for approval and then automatically updates PeopleSoft. Conditional routing options exist if an approver is absent or unavailable. Notifications are automatically triggered for the instructor, advisor, student and others that may need to be informed.
 
With more than 1,000 grade change requests processed each semester, the new eForm is having an immediate impact -- reducing the turnaround time required for processing change requests, providing users 24/7 visibility on the status of each grade change request, and making the process significantly easier for both initiators and approvers. Congratulations, SFU!

On Monday, October 13, 2014, Hennepin County Medical Center in Minneapolis, MN, kicked off its implementation of a custom PeopleSoft-based Expenses eForms solution for its physicians. By November 19, less than six weeks later, they were preparing to launch User Acceptance Testing. Not bad for a custom-developed, workflow-enabled, PeopleSoft-integrated, self-service application.

Built with GT eForms™, HCMC's new Expenses solution automates the process of reporting and reimbursing expenses for HCMC's physicians. Replacing a manual, paper-based process, the new eForms solution features an online Reimbursement eForm, integrated as a bolt-on within PeopleSoft HCM. Physicians or their administrative staff can complete the form, route for approval (using existing PeopleSoft security), and have the reimbursement automatically processed within PeopleSoft Payroll. The solution includes custom balance tables that not only help the individual physicians track their annual expense budget, but also provide visibility to the current balance as they complete the reimbursement form. Built-in edits validate availability of funds.

HCMC will continue testing in December, and plans to roll-out automated expenses at the start of 2015. The new solution is a huge step forward for HCMC, not only in terms of automating the expenses process, but the ability to use the GT eForms™ framework to automate dozens of other processes across its PeopleSoft systems. Next up? HCMC is eager to develop more forms for both HR and Finance, with Tuition Reimbursement, Vendor Add, and Vendor Invoice Submission eForms at the top of their list.

For more than five years, Questar Corporation, an energy company based in the U.S. Rocky Mountain region, has had plans to automate its onboarding processes for new employees.

Traditionally, Questar's onboarding process had required an HR specialist to personally travel to each worksite to walk new employees through lengthy paperwork and 'new hire' documentation. It was a costly and time-consuming process.

In May 2014, Questar launched an ambitious 8-week implementation of GT OnBoarding™ to automate its onboarding and orientation process. Questar staff worked closely with Gideon Taylor to implement the portal-based Onboarding Dashboard, including integrated eForms for personal information, W4 tax information, employee policy acknowledgements, and links to existing direct deposit forms and benefits enrollment. The project also introduced voluntary self-ID surveys for veterans and employees with disabilities, and a view for hiring managers and HR to check the progress of an employee's onboarding tasks.

The results have been better than Questar's expectations. Previously, the onboarding process would require three to four hours to be spent with each new employee, walking through the onboarding process and each required document. With GT OnBoarding™, they've been able to reduce that time to fifteen to thirty minutes for an HR specialist (as much as a 90% reduction in time spent on documentation), enabling the new employee to be guided through the process online, and allowing HR to focus on more value-added activities to ensure those employees are acclimated and productive in their new roles as soon as possible.

Questar plans to introduce more automation in the months to come, but we think this is a pretty good start. Welcome aboard, Questar!

Congratulations to the University of Adelaide (Adelaide, South Australia) on the recent go-live of their new CRAFT (Contract Review and Administration for Fixed Term) eForm. Replacing a tedious, paper-based process, the new CRAFT form automates the entire contract review and approval process for expiring staff contracts.

The new PeopleSoft-based eForm was the result of just three months of design and development, and was delivered substantially by Uni of Adelaide resources. The University engaged Gideon Taylor to provide three weeks of onsite training and mentoring to kick off the project in June. A working prototype was complete by the end of the three-week period, and University resources carried through with final design, development and testing. The finished form went live in October, including auto-population of key fields, conditional logic, edits, form messages, routing, and direct updates to PeopleSoft.

The CRAFT process starts by auto-populating the eForm with the details of the expiring contract. Workflow participants can deny or approve a contract renewal with the same terms, or they can edit the form as necessary to modify work schedule, compensation, or any number of other conditions. Once the terms of a contract renewal are approved within the form, it auto-generates the contract, routes to the candidate for acceptance, and updates PeopleSoft upon completion. If denied, the form captures any necessary details and the University's disposition toward hiring the candidate for future work.

The new automated process is proving a valuable timesaver for the University. With the previous manual process, contract reviews could take up to ninety (90) days to be completed and approved, with the best case scenario being a fifteen-day turnaround. With the new CRAFT form, the slowest has been fifteen (15) days, and many forms are being completed in only two to five days. The faster turnaround is good business for both the University and its staff.

During the University's recent presentation on the new process at the Alliance Down Under conference in Australia, audience members were surprised that the automation effort only took three months to complete. The University's team was pleased with how quickly they were able to learn and use the GT eForms™ framework. With their first successful eForm under their belts, they're excited to start working on requests they've already received for other eForms, including additional contracts workflow, overtime, cost center changes, and new eForms for both Student Admin and Finance.

Delivering consistent HR processes for more than 45,000 employees plus retirees, throughout geographically dispersed locations and varied reporting structures can be a challenge. For the State of Tennessee, their PeopleSoft HCM has provided robust data management, but has lacked efficient and effective process management for personnel actions. To address that, the State recently selected Gideon Taylor and GT eForms™ to implement a suite of PeopleSoft-based electronic forms to automate a wide range of HR-related actions and onboarding activities.

According to Sandy Graf, State of Tennessee ERP Director, GT eForms™ represents a major opportunity "to improve and modernize the State's human resources business processes". GT eForms™ provides a framework that will enable the State to simplify HR business processes by reengineering and consolidating multiple, complex business processes into efficient, user-friendly electronic forms.

The State's implementation of ePAF™ will be a revolutionary change for both GT and the State. It will be the first time that ePAF™ will be delivered as a single form, combining the functions of the Hire, Job Change and Status Change forms that have previously comprised the ePAF™ suite. It's an exciting opportunity to create one electronic form that intelligently guides the user down the path of executing almost any personnel action in an employee's lifecycle, including hire/rehire, transfers, data changes, pay changes, promotions/demotions, and status changes. Additional eForms planned for the future will enable the State to add and update positions and automate security access requests.

The implementation will also feature full integration with the PeopleSoft Approval Framework, enabling the State to leverage all of the capabilities and functionality of GT eForms™ to create efficient electronic forms driven by PeopleSoft's delivered workflow engine.

Immediately following the ePAF™ project, the State's implementation of GT OnBoarding™ will include the automation of many forms and processes unique to initiating a new employee. These include the GT Paperless I-9 with E-Verify Integration™, beneficiary designation, parking, policy and procedure acknowledgement forms, as well as links to a welcome video, required reading and existing employee self-service applications. As a PeopleSoft-based bolt-on, the new onboarding solution will enable the State to have the forms and data gathered, managed, and updated within its core HR system without having to worry about paper forms, manual processes and duplicate data entry.

The State's new ePAF™ solution is scheduled for go-live in Spring 2015, followed by Onboarding in Summer 2015.

With an average of more than one hundred leave request forms being submitted per day, automating their Record of Absence paper form had been an objective for Northern Arizona University's HR/Payroll team for quite some time.

GT partnered with the NAU team on the design and development of the Record of Absence (ROA) form as well as some other eForms that NAU had identified. Pam Fleece, HRIS Manager, was happy to have the help. "We were grateful to have Gideon Taylor back on our campus to help us with several automation processes."

With the old process, an employee would complete a paper form requesting vacation or leave. The form would be routed to their supervisor for signature, then passed to a specialist for data entry into PeopleSoft. It was a basic, but tedious process, generating thousands of paper forms throughout the year.

With the new eForm, an employee can submit a leave request for a current or future pay period. Automatic edits check to see if there is balance available for current period requests. If a request for the current period exceeds available balance, a message is displayed and the form will not process. Otherwise, it will route for the manager's approval. For future pay periods, the form will automatically calculate projected accruals, and display those to both the employee and the approving manager. Once the leave is approved, a calendar invite is automatically sent to the manager to reflect that employee's scheduled absence on their calendar.

There's one more automation feature that makes the ROA form as efficient as possible. When a 'future' request reaches the current pay period, an email (using the delivered GT reminder tool) is sent to the employee and the manager if the requested leave time exceeds the current balance. Employees can make adjustments to their request right up to the process date, subject to approval, of course.

On September 3, 2014, NAU went live on their new automated ROA eForm, and has processed 3,311 forms over the past 30 days. They anticipate that an average of over 900 forms will be processed each pay period. The impact has been overwhelmingly positive, with both employees and supervisors commenting on how easy the process is.

When the University of North Carolina at Chapel Hill goes live on its new implementation of PeopleSoft HCM this fall, a broad range of personnel actions will be fully automated with GT eForms™ and ePAF™.

Many organizations that implement GT eForms™ have been on PeopleSoft for years, and have recognized the need for workflow-enabled business processes to easily manage changes to person and job data. UNC-CH identified that need during their initial implementation of the HCM suite, and quickly resolved to rectify it before rolling the system out in production. Having originally scoped the work as custom development with the delivered Approval Workflow Engine, the UNC team realized that the amount of custom development work required would exceed their timeframe. With Gideon Taylor's ePAF™ solution, the University saw that it could save significant time and effort, and also leverage the GT eForms™ framework to create and deploy other automation solutions across the University's PeopleSoft Financials and Campus Solutions systems.

The initial scope for HR has included seven eForms to automate a variety of personnel actions, including eForms for 'hiring' affiliates (persons of interest) and changing funding sources for faculty and staff. Five of the seven forms are integrated with the University's budgeting to accurately and automatically update financial impact when necessary. The team has addressed some unique complexities along the way, including configuring the system to accommodate more than 20 stops on certain approval routes, and being able to efficiently manage how the forms behave and present themselves based on a wide variety of user roles and security requirements across 18 different employee groups.

When its PeopleSoft HCM system goes live this fall, the University's staff of more than 12,000 employees will be able to leverage the benefits of GT eForms™ from day one, including ease-of-use, speed, accuracy, and a significant reduction in paper forms. After go-live, UNC-CH is already gathering requirements for two more eForms to efficiently automate the University's processes for performance reviews and annual raises.

For Simon Fraser University, selecting an enterprise-wide workflow and electronic forms was a careful and deliberate process. Due diligence included not only research on available solutions, but also extensive prototyping to understand the benefits and limitations of each tool. After a competitive evaluation of PeopleSoft-delivered capabilities and third-party solutions, SFU announced their award of Gideon Taylor and GT eForms™ in January 2014.

SFU's initial implementation is a three-pronged approach which includes process automation for a broad range of actions across PeopleSoft HCM, Financials and Campus Solutions. HCM automation includes the implementation of ePAF™ to deliver paperless personnel actions. On the Financials side, SFU has targeted approval automation for the delivered PeopleSoft Expenses module and purchase requests. For Campus Solutions, an automated Grade Change process will be implemented.

For SFU's finance team, improving workflow within the delivered PeopleSoft Expenses module has been high on their list. SFU's current process requires users to enter data in PeopleSoft for cash advances and reimbursements, but then print those pages and manually route for signatures. With their new Expenses eForms, users will be able to enter expense data online within PeopleSoft and route the request online for approval. Once approved, the eForm will automatically populate PeopleSoft's delivered Approve Transaction page for SFU's Payment Services team to do the final review before processing payment.

Similar to the new Expenses processes, SFU's Purchase Request eForm will enable department users to easily and efficiently route purchase requisitions for online approval with PeopleSoft-based eForms. SFU's Procurement Services will then be able to focus on sourcing the right products and services rather than managing paperwork and data entry.

Another great addition for SFU will be the new paperless Grade Change Request eForm, allowing professors to submit grade changes more efficiently than ever before. Once the approval routing is complete, the eForm will automatically update the student's record in PeopleSoft.

According to SFU, the goal of the project is to create an ecologically sustainable, self-service environment that will reduce workload, reduce paper waste, and result in improved customer service. The University will also reduce its legal and financial risk through process standardization, transparency and a complete audit trail for each transaction.

For SFU, it's a big project that promises big rewards and it's just the beginning. They're eager to use this as a launching pad to deliver even more eForms solutions. Automation will significantly enhance their core PeopleSoft systems, increasing value and extending both functionality and usability. Congratulations to the University of the Sunshine Coast (USC) in Queensland, Australia, on their recent go-live of GT eTime™.

"The feedback from our Pilot groups using eTime has been extremely positive," commented Allie Morgan, HRMS Project Manager at USC. "We have been thrilled with comments like 'Easy to use', 'Intuitive', 'I don't even need training as it just makes sense!'"

Built as a PeopleSoft bolt-on with GT eForms™, USC's eTime provides a flexible, configurable online timesheet solution to serve many of USC's employees. It's designed to accommodate both punched time and elapsed time, depending on the employee's role and reporting requirements. If a user's time and activities were substantially similar to the prior reporting period, the timesheets allow the user to quickly and easily copy an entire timesheet or individual rows and then edit detail as necessary. Users and managers can also enter account or project codes to properly map time. Once approved, the timesheet eForms apply any final calculations then automatically feed PeopleSoft Positive Pay.

With the volume of timesheets that managers may be expected to approve, GT also created a new product, GT Action Center™, to enable approvers to take action on multiple timesheets and other eForms from a single, summarized view. GT Action Center™ provides the necessary details in summary form, as well as the ability to click directly into the form for full detail. It has proven to be an extremely popular timesaver.

In addition to eTime, USC's team has been using the GT eForms™ framework to build their own Appointment eForm to simplify and expedite the hire process for casual and sessional staff. To prevent duplicate IDs, GT consultants mentored the USC team on the creation of a search match page.

As the University of the Sunshine Coast approached the testing phase of its GT eTime™ implementation, they realized that their new online timesheets were going to generate a lot of eForm approvals for managers. Instead of having to go into each timesheet to review and take action, what if a page were created that presented a 'worklist view' of all pending eForms and enabled the approver to take action on any or all of them directly from that page? Introducing GT Action Center™!

The new GT Action Center™ is similar to the PeopleSoft Worklist, but provides enough summary detail for each eForm in queue to allow the approver to evaluate each change or request that's being presented and take action on it from within the list. The image below shows an approver's view of the GT Action Center™ with multiple eForms in queue. Forms can be presented in order of preference or priority, and each form type (e.g. Hire, Job Change, I-9) can have unique color coding.

The approver can also drill directly into each eForm for additional information, or access pop-ups from the GT Action Center™ view to display more detail. With GT Action Center™, approvals have just gotten a whole lot easier and faster.

The University of Maryland, Baltimore (UMB), has had a busy year — upgrading from PeopleSoft HRMS 8.3 to release 9.2, and implementing ePAF™ to automate personnel actions. When the entire system is live in May 2014, users will be able to take full advantage of the new automation, executing the full range of personnel actions...fast, efficient and paperless.

UMB is continually looking for new ways to grow and improve, and GT eForms™ is proving to be a large part of that. "Gideon Taylor's eForms toolkit gives us the capability to rethink our business processes in ways that just make sense to our users, improve efficiency and, most importantly, data integrity," explained Kevin Curley, Executive Director of Financial Systems at UMB. "It makes for a compelling business case for administrators."

When UMB implemented their first GT eForms™ solution in 2011 to automate travel expense approvals and reimbursements, they knew that it was just the first step in using GT eForms™ to gain greater efficiency and productivity from their PeopleSoft system. Automating personnel actions will be another major step forward for the University, eliminating thousands of paper forms each year.

The UMB team gained experience and confidence with the GT eForms™ framework during the Expenses implementation which enabled their team to take the lead on the ePAF™ implementation. They contracted to have Gideon Taylor provide a full-time Senior Functional Consultant and a part-time Technical Lead that would provide additional guidance and mentoring through the early stages of the project.

Gideon Taylor is proud to announce that the University of the Sunshine Coast, in Queensland, Australia, recently launched its implementation of eTime™, an easy-to-use, GT eForms™-based time entry and leave management solution within PeopleSoft. The project kicked off in early August and will deliver an intuitive, online timesheet for employees, fully integrated within USC's existing PeopleSoft environment, and featuring workflow and approval routing.

"The University of the Sunshine Coast opened its doors in 1996 and rapid growth over the past 17 years has made us realise that we need to implement technology-based solutions to make our business processes more efficient," explained Mark Nugent, Director of HR. In July, the GT Paperless I-9 with E-Verify Integration™ solution went live with its most ambitious deployment to-date. Implemented for a professional services organization with hundreds of offices throughout the U.S., the solution automates the I-9 and E-Verify processes for the vast majority of their staffing hires. Fully integrated as a bolt-on within the client's existing PeopleSoft environment, the GT eForms™ solution will efficiently enable the online, in-house processing of more than 100,000 I-9's each year.

The University of British Columbia recently went live with a new component of its Expenses eForms system, the Online Payment Tool (OPT). Dennis Silva, Director of Payment and Procurement Services at UBC, was one of the first to experience the results first hand. "I approved my first on line reimbursement this evening in my hotel room - it was easy, I saw the back up and made comments before I approved the reimbursement," said Silva. "In the old process, the employee would have to wait at least a week for me to return to the office to sign off the paper form and probably another week or more for someone in Payables to process it. With OPT, she will be reimbursed most likely before I come back from my business trip - a happy employee!"

With over 17,000 employees, UBC's Expenses system has been designed to address a wide range of users and approvers across many departments. It has been important to UBC to gain support from a wide range of stakeholders and users throughout the process. "From the outset of this project, one of the guiding principles was to get as much input from customers on the tool as possible," added Silva.

UBC's Expenses eForms solution is the result of a partnership between UBC, Gideon Taylor, and Sierra Systems. Built on the flexible and robust GT eForms™ framework, the solution includes automation of every step of the process, including pre-travel authorizations, approvals for travel advances, online reimbursement forms, SmartPhone and ImageNow integration for imaging and storage of receipts, approval routings with attachment and comment functionality, and integrated payment processing through Payroll or Accounts Payable.

The University of Maryland, Baltimore, founding campus of the University System of Maryland, is in the process of extending its GT eForms™ system to automate personnel actions with the implementation of ePAF™.

In 2011, UMB went live with a new Travel Expenses system developed with GT eForms™. The project proved a huge success and laid the groundwork for other eForms automation initiatives. With the experience and knowledge that it had gained on the Expenses eForms implementation, the University's internal project team has been able to assume responsibility for most of the technical work on the ePAF™ implementation. A senior functional analyst from Gideon Taylor has been retained to work with them on the business process mapping, configuration, and testing for the new system. It's been a great model for UMB, who plans to extend automation to more business processes in the future, and continue to do more on their own.

The project is scheduled to go live later this year, and will serve UMB's more than 5,000 employees.

PeopleSoft has been a leading software platform for enterprise financial management for years; but as time has evolved, so has the need for updated and customized technology in financial departments. GT has analyzed the gaps and inefficiencies of PeopleSoft's current applications, and consequently developed several eForms to improve the efficiency and effectiveness of PeopleSoft for financial users. They include the Journal Voucher eForm, Security eForm, Expenses eForms, Receipting eForms, and the Vendor Creation eForm.

The Journal Voucher eForm provides an easy way to request a journal voucher, provide workflow and approval processes, and then have it automatically entered in the system. It replaces what is usually a long, complicated paper process. Normally, departments have to request the movement of funds and get approvals on paper, followed by a typically cumbersome entry page where the paper forms are manually keyed into PeopleSoft. "This [eForm] replaces both the need for the paper to be filled out and manually routed, and the complex entry into complicated pages inside PeopleSoft's very streamlined entry process," says Paul Taylor, CEO of GT. Ultimately, the Journal Voucher eForm takes the user from a complex, generic system, nonspecific to their needs, to an efficient, user-friendly interface customized to suit the needs of the company.

The Security eForm can be used to grant security roles, create user IDs, and grant access inside the financial system. It saves a lot of maintenance time, as well as management of user identity and security in the financial system. The big advantage is that it automates what is usually a paper process, which "speeds the ability to get security to people, making them more productive, faster," says Taylor.

The Expenses eForms solution provides a customized, end-to-end expense management solution within PeopleSoft. Workflow-enabled functionality includes the ability to request and approve travel, issue travel advances, submit reimbursement requests, and automatically create vouchers to reimburse the employees via Accounts Payable or Payroll. These robust solutions include per diem calculations and reimbursements, splitting shared expenses across multiple travelers, custom edits to ensure the expenses are appropriate, tax calculations, and efficient automation of a wide variety of previously manual processes.

The Expenses solution also includes general payable expenses to reimburse requisitions, invoices, and internal payments. As an eForm solution, the front end is completely customizable to accommodate accounts payable. With built-in workflow, clients can have external-facing forms that allow vendors to submit payment requests, route those requests for approval, and automatically create payments once those approvals are made. The eForm solution can manage both travel specific expense reimbursement and general expense reimbursement, making it flexible according to a client's needs. "The type of expenses that can be reimbursed is very flexible so we can provide different types of expense reimbursement requests, depending on the type of transaction you need to automate," Taylor says.

The Receipting eForm is designed to flexibly receive funds and generate receipts from those funds. That includes point-of-sale receipting, cash register entry, deposit management for banks, and integration with GT's Journal Voucher eForm.

Finally, GT has a Vendor Creation eForm for PeopleSoft Financials that enables a vendor to request to be set up as a vendor in the system. Following the online submission, the request goes through an approval process and the vendor is automatically created once approved.

These eForms, and dozens more, revolutionize the experience of PeopleSoft users by creating a more user-friendly, efficient platform from which to work. GT continues to create and discover new ways to innovate the business workplace.

With casual users around the world receiving contributions and funds, it's critical to have a system that EVERYONE can use. A global non-profit that has been using the GT Paperless I-9™ solution for years has contracted Gideon Taylor to create a new GT eForms™-based receipting solution.with some interesting requirements. The organization needed a solution that could be immediately accessible to a broad base of users across multiple locations, required little training, and could provide a user interface that could intelligently apply localized requirements based on the receiving location. And, it needed to seamlessly integrate with the client's PeopleSoft Financials system without looking like PeopleSoft.

The Receiving eForm receives funds and generates a receipt, greatly simplifying the processes the client currently uses.

The client will use the eForm solution to replace three disparate systems they currently use to receive funds in various units throughout their organization. The current approach makes for a complex, inefficient, and rather non-user-friendly system to deal with. In the new eForms solution, the receipting templates will need to change to accommodate certain situations, and for some of their foreign entities they need to have very specific receipt formats printed that match the legal requirements of those countries. All of that needs to integrate with PeopleSoft Financials, so journal entries can be created in the general ledger after the receipts have been entered. Some forms require approval processes, which can be time-consuming. Lastly, the client wanted a completely new 'skin'; they wanted the style of the page to not look at all like PeopleSoft so they could have an updated, more modern look while still within PeopleSoft.

Gideon Taylor is replacing all those systems with one, integrated eForms system that will provide receipting functionality across the whole organization. The new eForms system will standardize the receipting process, and make it much easier for the client to manage because they won't have multiple systems trying to accomplish the same thing. "It will reduce errors because the eForm solution will be collecting the information in the same financial system (PeopleSoft) rather than having to transfer it from spreadsheets or other external applications," says Paul Taylor, Gideon Taylor CEO. "It reduces the complexity of the interface to the financial system, because we're already in the financial system." The new approach will simplify the user experience as it will be more guided, and there will be less steps for the user to go through to create a receipt. Lastly, GT has done "very extensive skinning to get a fresh new look inside PeopleSoft", giving the client the clean, updated appearance for which they've been hoping.

Additionally, "we need to manage bank deposits with approval processes involved," Paul explains further. "We've also added the Journal Voucher eForm, that lets a unit request transfer funds inside of the organization. It creates a journal that moves funds from one area to another." GT also added the ability to do inline approvals, where multiple approvers can sign the form in the same session if all of the signatories are present when the form is filled out. This helps them avoid having to do workflow in certain cases, and increases the efficiency of the approval process.

The Receiving eForm is yet another example of GT's effective responses to the needs of their clients. In this case, the phrase "Simplify, simplify" is being taken to a whole new level; a level of efficiency, simplicity, and success for this client.

Once complete, the Receiving eForm will be added to the GT eForms™ Library and will be available as part of the GT eForms™ Enterprise License with no additional license fees.

With a system comprised of four campuses, a system office, and a University hospital, one of the primary goals of the University of Missouri System's ePAF™ implementation has been to deliver a flexible, system-wide solution while limiting campus-specific customizations. Early in the project, the University System decided on an approach to adopt best practice business processes where possible rather than modifying the eForms for each campus. As a result, they've been able to not only minimize the number of customizations, but also accelerate the speed of the project.

Since kicking-off the ePAF™ implementation in October, the project team has made rapid progress. In addition to their focus on best practice, the team has also chosen to have the University's technical staff lead the development of some of the new eForms with coaching from the GT team. This will ensure that the UM team is ready to support and extend the eForms solution once the project is complete.

The ePAF™ project is in the process of completing the first round of user testing and is on pace for a pilot launch in early 2013.

For its next phase of process automation, UM is preparing to implement the new GT OnBoarding™ solution, including eForms for Paperless I-9 with E-Verify Integration™, W4 and state tax forms, direct deposit, appointment notification, and personal data.

Delivering more functionality and convenience to its users has been a key objective of the University of British Columbia's Expenses eForms solution. Recently, UBC, Sierra Systems, and Gideon Taylor extended the Expenses solution to include integration with the University's ImageNow document management system. The new functionality will provide users the ability to snap a picture of an expense receipt with their smart phone, and send it to the ImageNow system. They can then retrieve it from their eReceipts 'store' and attach it to their travel expense eForm. Once complete, the integration will allow UBC to deliver a fully mobile-enabled expenses solution.

In addition to its automation of expense reimbursement, credit card reconciliation, and invoice payment, another unique feature of UBC's Expenses eForms solution is its integrated tax management. The solution supports complex tax calculations that ensure the University recovers its maximum rebate while providing a simplified, guided user experience.

The complete solution will be launched in early 2013.

JMU is also working with Gideon Taylor on the development of GT OnBoarding™. Having implemented ePAF™ in 2009 to automate a wide variety of personnel actions, a leading aerospace and defense contractor continues to expand their use of GT eForms™. Recently, they engaged with Gideon Taylor to create two new eForm solutions that are now available as part of the GT eForm Library for PeopleSoft HCM: the Tuition Reimbursement eForm and the Employee Award eForm.

The Tuition Reimbursement eForm enables employees to submit reimbursement requests for educational courses that they're pursuing to enhance their job skills. Employees use the form to submit course information, including the final grade, cost, and any necessary scanned attachments. The form calculates the degree to which the course is eligible for reimbursement based on the grade received, whether it qualifies as a tax deduction, and routes for appropriate approvals. Once final approval is received, the eForm is integrated with Payroll to automatically process the employee's reimbursement.

The Employee Bonus Award eForm automates a long-time (and highly popular!) paper-based program that allows employees to nominate fellow employees for cash awards based on an outstanding accomplishment or job performance. The new eForm is accessible to all employees, and provides the flexibility to nominate either individuals or teams. While on the surface it may seem a somewhat simple business process, the routing becomes uniquely complex when factors such as the number of nominees, dollar amounts being awarded, award thresholds, and countless combinations of business units, offices, and approvers are involved.

Paul Taylor, Gideon Taylor CEO, commented, "GT eForms™ provides a very flexible and extensible development platform for workflow and self-service applications inside PeopleSoft, and we were confident that our team of consultants could develop anything [the client] needed. We have a lot of experience automating robust and complex business processes."

Once all necessary approvals are obtained, the Award eForm goes to payroll, automatically adding the award amount to the employee's paycheck. As one more "nice-to-have", the form also allows the nominating employee to print an attractive award certificate that can display the amount that was awarded, the achievement or reason for the nomination, and other details.

As part of Gideon Taylor's ongoing commitment to extend the value of GT eForms™ solutions through community solution sharing, both eForm templates are available at no additional cost as part of the GT eForms™ Enterprise License.

With a network of four campuses, an associated hospital, and a central system office, the University of Missouri System has selected Gideon Taylor and its GT eForms™ solutions to significantly improve the efficiencies of a variety of business processes around its existing PeopleSoft HCM, Financials, and Campus Solutions systems. The University will kick-off the initiatives in September, starting with the automation of personnel actions.

As a second-year sponsor and exhibitor at the HEUG Mid-Atlantic Conference, Gideon Taylor joined the University of Maryland, Baltimore to showcase UMB's Travel Expenses solution built on GT eForms™. Hosted at Towson University on Friday, June 1, two dozen universities and colleges from the mid-Atlantic region were represented at the conference.

Our joint session with University of Maryland, Baltimore featured a demonstration of UMB's Travel eForms system that went live at the end of October 2011. The system automates the entire travel lifecycle from initial Travel Request through Expense Reimbursement for all employees, non-employees, and students. It includes a robust, multi-level online approval process, electronic file attachment capability (for scanned receipts), and full integration with both Payroll and Accounts Payable for expense reimbursement.

To date, more than 15,000 expense reports have been processed, and the solution has been adopted with great enthusiasm. A hearty welcome to the team at James Madison University in Harrisonburg, VA, with the recent kick-off of their implementation of ePAF™ and GT OnBoarding™! A Gideon Taylor team recently completed the Discovery phase with JMU in preparation for its GT eForms™ implementation.

The intensive, two-week Discovery focused on discussions and planning sessions to help finalize requirements, identify new opportunities, and lay the groundwork for JMU's automation of a wide range of personnel actions and HR process automation. In addition to the core ePAF™ forms related to Hire, Job Change and Status Change, the sessions also helped the JMU team identify other eForms opportunities for Mass Entry and Approval , Person of Interest (POI), Request to Onboard, Request to Post (for job postings with PeopleAdmin), Position Data Request, Supplemental Pay, Contract Creation (for faculty and student contracts), Signature Authorization, and Proxy/Delegation.

Phase One of JMU's implementation is scheduled to go live in November with the ePAF™ suite. In addition to planning its HR initiatives, the JMU project team has also been engaging representatives from its Campus Solutions and Finance application teams in GT-led training sessions to help identify opportunities to extend eForms automation to its PeopleSoft Campus Solutions and Financials applications.

With the release of GT eForms™ 2.9 right around the corner, Gideon Taylor has been developing a new training program to help organizations make the most of its capabilities. Technical resources at the University of Utah just completed a very successful pilot training course using the new materials.

When complete, the new materials will facilitate both instructor-led and self-study training courses. Delivered in the cloud, the curricula include learning modules that teach concepts and steps, present hands-on activities, and test progress with module quizzes. Supporting online videos help cement the concepts.

The new training program will include the following five courses:

  • GT Solution Support - Build simple eForms from scratch (no PeopleCode or PS integration), and maintain and troubleshoot basic configuration of existing GT eForms™ applications
  • GT Technical - Build full-featured eForms, including PeopleCode (no PS integration)
  • GT Senior Technical - Build complex GT eForms™ applications, including integration to PeopleSoft and other systems
  • GT Functional - Configure and maintain new and existing eForms-based business processes, including workflow routings and email notifications
  • GT Senior Functional - Design, configure and extend robust eForms business solutions using advanced GT constructs (Visual IFs, Filters, SmartSources)

There will be a GT Certification available matching each course. The Certifications include both a test component and a project component. GT Certification means that the certified resource is ready to add significant value to their organization using the GT toolset.

For the University of Utah, making sure that its team has the right tools for the job is a critical key to success. That goes for both technology and training. So, when the University made the decision to develop a series of new eForms, they focused on also making it a learning opportunity to build greater expertise with the GT eForms™ framework.

The University kicked-off development of four new eForms, including Department Salary Change, Security, Additional Pay and Non-Employee forms. The Department Salary Change eForm will allow users to change salary and distribution of wages for the beginning of the fiscal year, and is also designed to be used for other mass salary changes throughout the year. The Additional Pay form will be used to update additional pay records.

UU's new Security eForm will automate the assignment of security roles to employees. An intriguing feature incorporated into the Security form is the ability to use 'same as' functionality to populate the form with the same role(s) as a predecessor or an employee doing similar work in the department. For example, if Sally is a payroll clerk and John is a new payroll clerk, a manager or administrator can select 'same as Sally' and have the form populate from Sally's security, allowing for deletions and additions.

The Non-Employee form is designed to enable the University to easily add Persons of Interest to PeopleSoft. It was also targeted as a training opportunity for the UU team. Using the new GT Training program, the UU team completed 80% of the work in only one week!

James Madison University ("JMU") in Harrisonburg, VA, has awarded Gideon Taylor a contract to transform its personnel transactions as part of a major initiative to enhance and automate key HR processes.

JMU currently processes over 20,000 paper-based personnel transactions each year. The manual processes require significant data entry and can often generate errors. In selecting ePAF™ (electronic Personnel Action Forms) and GT OnBoarding™, the University's targeted objectives include (1) eliminating paper from common HR processes, (2) reducing data entry, employing technology to improve efficiency, accuracy and effectiveness of HR and payroll operations, and empowering business owners with greater control and management of workflow and processes.

Kicking-off in April, Phase One of the project will focus on the implementation of the latest release of GT eForms™ 2.9 and ePAF™ for Hire, Job Change and Employment Status Change transactions. ePAF will fully-automate transactions that had previously required one or more paper forms: JMU's Personnel Action Request (PAR), Pay Action Worksheet (PAW), and Employee Information Form. Phase Two will follow with the new GT OnBoarding™.

In addition to leveraging GT solutions for PeopleSoft HCM, JMU is eager to explore opportunities for GT eForms™ with their PeopleSoft Campus Solutions and Financials systems as well.

Travel requests and reimbursement processes have never generated much positive press at the University of Maryland at Baltimore…until now. On October 24, 2011, UMB went live across all schools and departments on their new Travel eForms following a 3-month pilot phase. In just over two months, more than 6,000 forms have been entered into the system and thousands of staff members have been reimbursed. The project team and HR department have been receiving unsolicited emails and comments from staff and faculty, congratulating them on the new system and lauding its efficiency.

Gideon Taylor and UMB worked together to develop the two new eForms, which guide employees through travel expense processing from beginning to end. The Travel Request eForm allows employees to kick the process off by requesting future travel. Once the trip has been approved and completed, the employee uses the Travel Expense eForm to report their expenses and request reimbursement. The approved reimbursements are then loaded into employee pay lines or AP vouchers for payment.

With features like automated routing and approval, electronic file attachments, and employee proxy support, UMB continues to set new standards in streamlining their processes and increasing efficiency through the use of the eForms suite.

Gideon Taylor has implemented a new, more formalized Software Delivery Model (SDM-2), which will allow our clients to apply and benefit from fixes, enhancements and upgrades with less effort and expense. For years, the University of British Columbia recognized that its reimbursement and vendor payment processes were cumbersome and offered limited ability to proactively track and manage associated spend. These included reimbursements to employees for travel and out-of-pocket expenses, payments to vendors, and payments of Professional Development funds for UBC employees. With a volume of over 250,000 transactions annually, improving this business process became a key goal for the University. After extensive evaluation of travel expense and reimbursement systems, UBC selected Gideon Taylor to develop a Reimbursement and Payment eForm solution for them.

The new eForm is designed to accomplish many business objectives for the University, while also providing a significantly easier and more intuitive user experience for the traveler. Users will now have the ability to submit multiple expense requests for a single trip while tracking the total cost associated with the trip. Travelers can also easily create templates of their "Favorite" trips and expenses in order to schedule repeated transactions easily.

One of the primary goals for the project has been a simplified user experience. This eForm solution will allowusers to complete expense reports in only a few minutes by hiding the complexities of the process from them. With the design of the new eForms, however, UBCis looking forward to realizing other significant benefits. The new system will effectively support five discreet payment-related business processes with a singleeForm by conditionally displaying the required information, driven by the user's selections. In addition to managing travel expenses, users will be able to request approval for Professional Development funds, submit the same for payment, and reconcile transactions for the UBC Travel and Expense Card.

In addition to the eForm solution for travel expenses, the University is also implementing a Vendor Registration eForm. This eForm will automate the process of registering companies to do business with the University, enabling the process to be initiated by the vendors themselves.After a vendor self-provisioning and registration process, workflow approvals and email notifications will move the request through to automated vendor creation inside of PeopleSoft.

For UBC,the project promises huge wins all the way around. The Vendor eForm will help to empower prospective business partners for the University and broaden UBC's pool of qualified vendors. The new Reimbursement and Payment eForm will help the business offices better track and manage spend associated with travel expenses, saving both cost and effort. University travelers will save time, headaches and keystrokes with a significantly improved and far easierprocess for expense approvals and reimbursement.

The UBC eForm will expand upon the Vendor eForm template in Gideon Taylor's GT eForm Library, which was created at the City of Boston. It will be completed as part of the scheduled Payment eForm project.

For an international food retailer, the GT I-9 and E-Verify solutions will significantly improve their compliance processes for U.S. employees. In addition to implementing ePAF™, the university is undertaking an ambitious effort to revolutionize its merit award process with eForms. Replacing a manual, labor-intensive merit review and approval process, the new eMerit solution will allow managers at each level to review the merit process for that period, easily allocate the expenditures, and approve increases for their team members. When the award is approved within the eForm, it will automatically create transactions for all employees in a department with a single "submit". A process that had previously been relegated to spreadsheets and extensive approval paperwork will now be accomplished with a few clicks of a mouse.

In September 2011, the City of Boston successfully went “live” on its first suite of GT eForms™-based electronic forms, designed to improve business efficiencies and reduce paper associated with a variety of paper-based transactions within its human resources and finance operations. The City is already realizing significant benefits in how itdelivers services to its employees.

With over 20,000 employees, the City of Boston serves more than 618,000 residents through its municipal government and public schools. Since 1999, the City has used PeopleSoft as its core system for managing human capital and financials. Even with the benefit of PeopleSoft's robust functionality, the City still continued to rely heavily on paper-based processes for many of its business transactions. These paper forms varied in complexity and required a variety of approval processes, followed by manual data entry into the City's ERP (PeopleSoft) applications. The City consistently faced challenges in tracking the transactions, managing the approval processes, and controlling the quality and accuracy of data.

In 2010, the City started a process to identify and implement an online forms solution. The City's primary objectives were to reduce paper-based processes, employ best practices to improve operating efficiencies, and ensure data quality. Early in 2011, the City selected Gideon Taylor's GT eForms™ to address its requirements for an integrated workflow and online forms solution. Starting with ePAF™ (Personnel Action Forms), the City implemented a variety of delivered and custom eForms to replace its paper-based processes and enhance its existing PeopleSoft functionality. The Hire eForm replaced multiple paper forms, providing the ability to directly update Personal and Job Data within PeopleSoft while also creating additional pay records, Medical and Leave plan enrollments, General deductions for union dues and initial tax records. Once these functions were incorporated, the City was able to deliver anessentially complete hire package in one eForm.

In addition to the ePAF™ suite, the City created a Budget Amendment eForm that provides the ability to add positions during the fiscal year. It also provided a valuable method for Boston Public Schools to manage overtime payments by creating an online workflow and approvals process for the request andsubmission of overtime. The City is also creating a Vendor eForm for its PeopleSoft Financials system. Accessible via the City's website, the Vendor eForm will allow current vendors to update existing information and potential vendors to submit requests to establish new business relationships with the City.

Through GT eForms, the City is delivering exciting new automation and efficiency solutions, some of which had been hoped for since its original implementation of PeopleSoft more than twelve years ago.

The Alliance '11 conference in Denver was a great success! Our Gideon Taylor team was happy to contribute with great new technology to show, including mobile-based workflow approvals for PeopleSoft. Of course, renewing friendships and meeting new people are always the high points of Alliance.

At our booth, Gideon Taylor demonstrated our award-winning workflow and electronic forms solutions for PeopleSoft, including GT eForms™,ePAF™, the GT Paperless I-9™ and GT E-Verify Integration™. We also held mobile approval races where attendees could enter their mobile device and vie for the title of fastest handheld signature in the West!

Our session, titled Gen-Y Mind Tricks: eForms and Workflow Gone Mobile (Or, "Your Pay Raise Just Texted Me"), presented valuable research and options for mobile-enabling PeopleSoft applications. The University of Oklahoma Health Sciences Center has chosen to expand its GT solution portfolio by implementing the GT Paperless I-9™ and GT E-Verify Integration™ products, and by upgrading their existing GT eForms™ applications (including ePAF™) to version 2.8.

The GT Paperless I-9™ will strengthen the medical center's compliance profile, cut the time and cost of the I-9 process and reduce paper. The GT E-Verify Integration™ will eliminate duplicate data entry by automatically submitting E-Verify cases when the electronic I-9 is completed, and allow E-Verify reporting and tracking inside of PeopleSoft.

Upgrading to GT eForms™ 2.8 will bring OUHSC's complex and highly customized workflow routings onto the robust workflow framework 2.8 provides, reducing custom code and housing workflow logic in configuration tables.

Today the University of Maryland at Baltimore (UMB) welcomed our Gideon Taylor implementation team and kicked off their Travel eForms project. The project will include the installation of the GT eForms™ toolkit, and development of an Employee Travel Request eForm and a Travel Expense Reimbursement eForm.

These Travel eForms will work together to streamline and speed the process of approving and reimbursing employee travel. The Request eForm will automatically generate a Reimbursement eForm, speeding completion and encouraging on-budget travel.

The Travel eForms are the first solutions planned as part of an eForms initiative that will expand to other business processes, reducing paper, increasing efficiency and implementing policy goals across campus.

We're excited to be working with a great UMB team, and look forward to an exciting project!

One of the problems with PeopleSoft apps is that they look so much like… well, so much like PeopleSoft. PeopleTools 8.5x has added some great new "Web 2.0" features, including a slightly more modern look (the "Swan" stylesheet), but PeopleSoft still doesn't have the feel of the freshest web applications.

Over the last few months, Gideon Taylor has been working to see just how far we can push the Web 2.0 design envelope - inside PeopleSoft. The result is our stunning new Tango skin, which is under development and scheduled for release by the end of March.

Gideon Taylor co-presented with our partner Sierra Systems on the topic, Workflow Winner's Circle: Who's In It and How to Join". The session highlighted several successful workflow projects, including the University of British Columbia, University of Alberta and Wakefern Food Corp., and gave tips on how to succeed with PeopleSoft-based workflow in the enterprise.

Our Project Team at Kal Tire has completed development of the Hire eForm, which will replace the PeopleSoft-delivered SmartHire process. While the SmartHire process required entry of 21 job fields to complete a hire, the Hire eForm requires only five!

For the remaining fields, valid values are intelligently restricted; for example, in one division the list of 146 jobcodes is narrowed down to 16. As a result, the eForm is much easier for store managers to complete correctly.

Intelligent workflow routings send Rehires to the Zone Manager for review before automated system entry. Everything else goes straight to the system, but generates a Review worklist item for Payroll to check the transaction and any comments.

The Hire eForm has been so well received that Kal Tire has decided to replace their Manager Self-Service process with Gideon Taylor's Job Change eForm, which will save the store managers additional time and effort and allow them to manage all their HR transactions from one place.

After a rigorous competitive bid process, the University of Maryland at Baltimore (UMB) has chosen Gideon Taylor to provide the University with a workflow-enabled electronic forms toolkit, and implementation services for initial electronic forms. The GT eForms™ toolkit will form the foundation of an ongoing electronic forms automation initiative at UMB.

The first processes slated for automation are the Employee Travel Request eForm and the Travel Expense Reimbursement eForm. A joint GT / UMB team will begin implementation in the first quarter of 2011.

Northern Arizona University (NAU) has gone to Production with their ePAF™ solution (called ePAR at NAU), cementing the success of the joint NAU / GT project team's efforts. The go-live is on schedule and in time for the semester rush coming in January. Use will begin with the HR group next week, department training will occur in January, and the campus-wide phased rollout will be complete by June.

The project team scored a huge win by completely automating the very complex Compensation Rate calculations. Previously, due to the variety of Compensation Frequencies as well as other data values specific to their business, this rate had to be calculated by hand using complex spreadsheets, and was still often wrong; resulting in re-calcuations by the HR group or, in some instances, incorrect pay amounts and cumbersome retroactive pay and benefit changes. Now this time-consuming and error-prone process is entirely automated. The user enters one value, and the Compensation Rate is calculated behind the scenes, inside the eForms.

Another remarkable achievement by the project team was supporting all of NAU's complex and conditional approval steps using only one Approval Route! This was accomplished with the heavy use of Visual IFs and SmartSources, two powerful tools in the GT Workflow Parts Gallery. SmartSources are reusable data source definitions that can pull information from queries, page fields, or PeopleCode methods for use in workflow routings. (For example, what is the form subject's tenure status?) Visual IFs are reusable logic statements that can use SmartSources to make a decision. (For example, if the form subject is tenured, stop at the Provost's Office for approval.)

This accomplishment highlights the power of the GT eForms™ 2.8 Parts Gallery, and positions NAU to easily maintain their single approval path, and expand their workflow routings by reusing the information and logic they've already defined.

The single Approval Route may not have been possible without Cathy Snow, HR Assistant Director and a key project team member. She took on the challenge of simplifying the approval process. She personally interviewed each approver and asked them, "Why are you signing this?" In several cases the reasons no longer existed, or no longer would once the process was automated. These approvers then asked to be removed, simplifying and streamlining the business processes.

We would like to congratulate NAU for a highly successful project that will pay dividends for years to come!

Gideon Taylor has scheduled a release date of November 24th for an update to its GT E-Verify Integration™ product. The Version 22 update implements all the requirements from the Department of Homeland Security (DHS) for versions 21 and 22 of its E-Verify web services interface.

DHS announced this week that web services users must implement version 21 by December 17th, 2010. DHS also requests that clients start testing by the end of November. GT's release schedule will meet this requirement, and provide updated documentation. Our Compliance Maintenance customers will receive technical assistance to implement the update, assuring that the deadline is met.

Gideon Taylor's release offers extra value by also implementing the Version 22 requirements which were recently published. This will save our customers time and effort later when DHS requires Version 22 use. Version 22 adds Photo Tool support for U.S. passports.

The release will also include the following new features:

  • Enhanced Password Automation - DHS requires a production password reset every 90 days. GT E-Verify Integration™ can now automatically change your password every 60 days. You can also receive password reset warnings if the password is over 60 days old.
  • State-By-State Management - New configuration settings allow you to specify which states E-Verify runs for.
  • Pageflow Improvements - The TNC management process pageflow has been reworked and streamlined.

After reviewing our October 18th announcement of GT Analytics™ and participating in a live demonstration of the tool, Northern Arizona University has decided to implement the new business intelligence solution immediately. Gideon Taylor resources started the GT Analytics™ project with NAU today, with the goal of going live with the ePAF™ project in December.

This project will expand the beta GT Analytics™ dashboard into a full manager-focused dashboard that will give a manager real-time charts and detail reports of what approval processes are happening in his or her area of responsibility. For NAU, this will eliminate the need for one complicated approval level in the ePAF™ workflow process, further simplifying and streamlining the personnel action business processes.

As our clients shift more of their business flow into eForms processes, there is more opportunity to extract valuable and pertinent high-level business information from the GT eForms™ system. To provide our clients easy-to-use access to actionable business intelligence, Gideon Taylor announces the debut release of GT Analytics™.

GT Analytics™ includes several online statistical reports that give an overall view of eForms transactions, and that help management identify training needs and track institutional progress toward ideal efficiency.

  • Baseline Compare – This graphical charting tool allows management to compare a subsection of the organization, like a specific department or members of a given role, against the baseline of the whole organization. Comparison is made on:
    • Average Cycle Time – How long a form takes to go from initiation to system entry.
    • Average Response Time – How long on average the participants in the eForm process take to act on an eForm.
    • Error Rate – What percent of eForms have been in an Error state at some point.
    • Correction Rate – What percent of eForms have been Recycled, Resubmitted, Withdrawn or Denied. An abnormally high rate can indicate a training need.
  • Form Type Distribution – Graphical display of eForm traffic in the organization or a subset thereof by Form Type.
  • Aging Summary – Shows a bar chart of the number of eForms transactions that are in process by how old they are. Combined with operational detail and the ability to drill down into the Admin Tool to approve, reroute or communicate about individual eForms, this is a great tool for keeping business processes flowing freely.

Charts give your managers a visual picture of your automated processes, with graphical comparisons to the broader organization. To enable immediate action on this information, GT Analytics™ enables drill-down to pre-defined or custom transaction reports, and from there to the Admin Tool to act on an individual eForm.

The Gideon Taylor team reached the Development Complete milestone today in an ambitious project to automate the part-time faculty personnel actions at Brigham Young University. These actions cover the full range of hire, contract change and contract termination.

Managing these contract-based faculty has always been a heavily manual process with many complex calculations and cross-checks. The GT solution includes extremely robust calculations to track FTE week by week across multiple contracts to insure FLSA compliance throughout the process. The solution hides this complexity from the users, giving them a simple, easy-to-follow eForm to work with.

The Hire process actually generates an electronic Contract, which is routed to collect electronic signatures from the faculty member, the appropriate Dean and the Faculty Compensation office. Ambitious in population, feature scope and timeline, the project will automate all personnel actions for the entire campus population, from student workers to faculty, within a twelve-week project.

The project will pioneer eForm-based management of Commitment Accounting, updating Department Budgets and Encumbrance Definitions automatically for hires, terminations and job changes. An eForm automating retroactive funding distributions is also in scope.

Implementing and managing the organizational reporting just got much easier for Northern Arizona University. NAU went live today with a "Reports-To" eForm built by a Gideon Taylor team using GT eForms™.

The Reports-To eForm shows a department manager all the positions in their department on one eForm, and allows reporting relationships to be assigned or updated. Positions can even be inactivated from the eForm.

After the manager or admin makes the changes and submits the eForm, it is routed for administrative and core office approval, and then automatically updates both Job Data and Position Data for each position with the reporting information. For inactivated positions, updates are also made in Commitment Accounting to the Department Budget and Encumbrance Definition tables!

This business process would typically require tediously updating each Position and each incumbent one at a time in PeopleSoft. From the big-picture view afforded the departments to the drastic reduction in data entry on the back-end, the Reports-To eForm revolutionizes management of organizational reporting.

New federal regulations governing the use of electronic I-9 solutions contain good news for businesses interested in automating the administratively challenging employment verification process. The Department of Homeland Security released their Final Rule on July 22, and it goes into effect today, August 23, 2010.

Gideon Taylor has taken great pains to ensure that our GT Paperless I-9™ product was fully compliant with the Interim Rule released in 2006. With this Final Rule, several stringent requirements are relaxed or eliminated, allowing the GT Paperless I-9™ process to be more streamlined.

  • While the Interim Rule required that a printed receipt be given to each signatory, printed confirmation is now only required when it is requested by the signatory. The confirmation also need not be given immediately, but can be provided a reasonable time following the completion of the I-9. This removes the requirement for the Employer Rep to have a printer available when the transaction is completed, and does away with the irony of an electronic solution that requires a paper receipt.
  • Audit trails for electronic views of the I-9 are no longer required; only for creations, completions, updates, modifications, alterations or corrections.
  • The requirement to allow searches on any data element has been relaxed. The Final Rule requires only that the electronic records be indexed in a manner that allows identification and retrieval of the documents. The Final Rule also made clearer that partially electronic I-9 stores are acceptable, as are migrations between I-9 systems. The Rule also makes clear that the 3-day window for completing Section 2 is in business days.

The GT Paperless I-9™ will retain the functionality to print confirmations and audit views as optional features. These changes make the argument for electronic I-9 processes even more compelling.

NAU is implementing PeopleSoft's Reports-To organizational structure, and needs to gather reporting information for thousands of employees. Gideon Taylor will use GT eForms™ to create a new eForm that will allow department users to quickly and easily assign and update reporting relationships for all the positions in their department on one eForm. After entry, the eForm will route the assignments for approval, and then will automatically update both Job Data and Position Data with the reporting information!

After training with our GT consulting team during the first stage of our ePAF™ implementation project, Maricopa in-house resources have used GT eForms™ to create three new eForms-based solutions with only advisory support from GT. The solutions are:
  1. The Security eForm, based on our eForm Library template, allows department users to request role access, routes the request through appropriate approval steps, and after review by a security administrator, automatically updates security.
  2. The Sub/Docks eForm manages pay for substitute teachers. The eForm creates pay for the substitute and "docks" pay for the absent teacher.
  3. Additional features for Job Change eForm, including support for department changes, FTE, reclassifications, reorganizations, correction to jobcode and title change.

The Utah State Legislature made it mandatory for all employers with 15 or more employees to use E-Verify for employment verification starting July 1, 2010. Everyone expected Utah Governor Gary Herbert to call a special session to revise the law to make it voluntary for one year and then mandatory starting July 1, 2011. However, the Governor has decided that no special session will be called. The deadline will remain July 1, 2010.

Though it is unclear what non-compliance means with this new law, many companies do not want to find themselves not complying with a state mandate. This leaves many employers asking the questions:

  • What is E-Verify?
  • How do I use it?
  • What does this mean to my organization?

We have provided services to our customers that are Federal contractors as they have complied with the Federal mandate for contractors to use E-Verify. The Maricopa Community College District (MCCD) will go live tomorrow morning with a powerful Job Change eForm after less than six project weeks, marking the fastest yet that a major ePAF™ form has been brought to production. In those six weeks, the joint MCCD-Gideon Taylor (GT) project team has successfully completed Discovery, Design, Development, Unit and User Acceptance Testing, as well as significant training.

The Job Change eForm, as customized by the project team, will automate all Job Data change actions. Some special features include simplified earnings distributions, grant-related "special funding," internal transfers, and "renewals" - essentially the annual rehire of employees in temporary positions.

Renewals alone account for 1,000 transactions per year. By replacing a previously paper-based distribution process with email notifications, the eForm will eliminate 3,000 pages annually. Even more impressive is the time savings. After being trained on the new Job Change eForm, one tester said, "I can now do in 30 seconds what used to take me 40 minutes." Even just at this one stage in the Renewal process, 650 hours will be saved every year!

The rapid move to Production will allow for a huge performance boost during MCCD's fiscal year cutover on July 1. The project team will now turn their attention to the Status Change eForm and to Governing Board Agenda automation that will make an onerous, State-mandated business process quick, efficient and automatic.

Brigham Young University has chosen to implement Gideon Taylor's GT Paperless I-9™ solution, automating employment verification and completing the move to completely paperless hires for much of their employee population.

BYU has been using ePAF™ since 2005 with great success. The GT Paperless I-9™ will further streamline the hiring business process.

BYU is gradually rolling GT Paperless I-9™ out to the campus community. Staff and faculty began using the solution in late March, students in April, and the Department of Continuing Education will go live soon.

The University of Alberta (UA) went live today with a major upgrade and expansion of their GT solutions. One of the early implementers of ePAF™, UA migrated ePAF™ from where it was hosted in their Financials system to HCM, and completely retooled the solution for GT eForms™ 2.8. With the help of a joint Sierra Systems-GT team, UA expanded ePAF™ to service the student population, in addition to the Academic and Staff populations that were already automated.

The project also saw the development of eForm solutions to manage delegation of both paper signing authority and eForm signing authority. The paper signing authority eForm allows signatories to delegate signing authority for certain documents for a set time, and integrates with a graphical signature database. An auditor or other authorized party who wants to check the validity of a signed document can query on the form type, department and date, and be shown the list of physical signature graphics for authorized signatories, which they can compare against the signature on the paper.

The University of Utah will go to Production next week with an upgrade to GT eForms™ version 2.8.2, Gideon Taylor's workflow and electronic form toolkit for PeopleSoft.

The University implemented a full suite of ePAF™ functionality on the GT eForms™ platform in 2008, fully automating all personnel action requests and approval processes. The University has since implemented the GT Paperless I-9™ and GT E-Verify Integration™ products, and several other custom eForms.

The GT eForms™ 2.8.2 upgrade allows for fully functional management of approval processes, and speeds development of new eForm processes. The upgrade project went so fast and so smoothly that in addition to implementing the new GT eForms™ version, the GT team was able to add the following deliverables while remaining within the four-week scope:

  • Facilitated a Functional Lab to train users on new tools provided in 2.8.2.
  • Facilitated Technical Training on 2.8.2.
  • Assisted in creation of a Design Spec for a Security Request eForm.
  • Used the Security Request eForm as a hands-on training opportunity for technical resources in developing using the 2.8.2 toolset. The combined GT/UU team completed 75% of the requirements for this new eForm type.

Gideon Taylor has successfully added support for the E-Verify Photo Tool to our GT E-Verify Integration™ product for PeopleSoft.

The GT implementation allows our users to compare the photos from certain verification documents like the Permanent Resident Card with the matching photo from the DHS database, adding more certainty to the employment verification process. The Photo Tool is part of the functionality delivered by Version 20 of the DHS E-Verify web services protocol.

The GT E-Verify Integration™ allows clients to integrate PeopleSoft HCM directly with the DHS E-Verify database, and perform all E-Verify tasks inside PeopleSoft.

The DHS deadline for upgrading from Version 18 is July 26, 2010. Our clients who are participating in our Compliance Maintenance program will receive the Version 20 upgrade, including implementation assistance, at no additional charge. Notification of final release availability will be sent to maintenance contacts. The Photo Tool will be included in the GT E-Verify Integration™ for new clients.

This week Gideon Taylor launched our ePAF™ implementation project at the Maricopa County Community College District (MCCCD) in Phoenix, Arizona. The first week has been very productive - the newest version of GT eForms™, 2.8.2, is installed in MCCCD's PeopleSoft HCM system, and the test Security Role Request eForm is generating emails, worklist items and approval routings, and successfully updating PeopleSoft.

The GT team led intensive Discovery and Design sessions throughout the week, using our proprietary Optimization and Defaulting Analysis (ODA) methodology to design electronic form processes that are optimally efficient for MCCCD's business processes.

The early feedback from District participants has been overwhelmingly positive. The District provided the project team with excellent material in response to our pre-project questionnaires. A solid design for a suite of highly efficient, purpose-built eForm processes is emerging. Next week the GT team will show a working prototype of the first customized eForm.

The project has a short timeline and an ambitious scope. We look forward to fast progress and a great outcome!

The University of Utah brings a GT team onsite this week to start an upgrade to GT eForms™ 2.8, the latest release of Gideon Taylor's award-winning workflow and electronic forms development framework for PeopleSoft applications.

The University set a new standard for business process automation with their ePAF™ project, which successfully replaced their paper Personnel Action Notification process with a fully electronic system in 2008. They have since implemented the GT Paperless I-9™ and GT E-Verify Integration™ solutions, and several other custom eForm processes.

The 2.8 upgrade will allow new eForm processes to be managed with even more setup-based control and efficient business logic reuse, plus great management tools like the eForm Admin Tool and the Process Visualizer. Following up on the successful launch of ePAF™ for student employees in November, the University of British Columbia (UBC) went live today with Phase II of their ePAF™ initiative, extending completely automated personnel action processing for Faculty and Staff employees.

Phase II also delivers Auto-eForm support for all of the delivered eForms. Auto-eForm exposes the creation of an eForm as a web service. UBC now has a SOA (Service-Oriented Architecture) enabled functional interface that allows third-party and batch loads for all job actions, which will still be routed through the appropriate approval process before updating PeopleSoft!

The system will allow an administrator to authorize a delegate to sign in his or her behalf for certain forms and departments, and for a range of time, with appropriate email notification to the delegation recipients. It will also allow signatures on included forms to be verified; by querying a form type, department and signature date, the verifier can see the signatures of all authorized signers.

As usual, the template of the completed form will be added to the GT eForms™ Library.

Work on the project will commence in February 2010. We appreciate UA's ongoing confidence and trust.

The University of Utah, as a participant in the Compliance Maintenance program for Gideon Taylor's automated employment verification solutions, received important compliance updates for their GT Paperless I-9™ and GT E-Verify Integration™ installations, with implementation and testing assistance from GT consultants, at no additional cost.

The updates will keep the University current with recent E-Verify web services changes from the Department of Homeland Security, which must be implemented within 6 months of release. GT also helped the University implement new queueing functionality, allowing E-Verify transactions to be held when the DHS service is down and processed automatically when it is available again.

The joint GT-Sierra project team at the University of Alberta (UA) reached a significant milestone today, successfully reaching Development Complete status. This project brings UA's SmartForms (ePAF™) solution forward onto GT eForms™ 2.8, opening the opportunity for more HR business process automation and efficiency.

When UA first implemented SmartForms in 2006, their PeopleSoft HR system was only at version 8.3. To utilize the newer GT eForms™ technology, GT eForms™ was installed and SmartForms built on their Financials 8.8 database, with an innovative, web services-based "bridge" pass completed eForms into the HR system.

The current project rehosts the GT eForms™ and SmartForms solutions to the since-upgraded HCM 9.0 database. An extensive retooling of the SmartForms solution into the new GT eForms™ 2.8 architecture will enhance maintenance and speed delivery of new functionality.

Gideon Taylor is pleased to announce the successful go-live of the GT eForms™ 2.8 / ePAF™ implementation at the University of British Columbia (UBC) in Vancouver, BC. The project scope included the full ePAF™ suite of eForms, including Hire, Job Change and Change Employment Status. This week ePAF™ went live for all student employees.

New innovations added during this project include the ability to save partially completed eForms, and the ability to copy the information from one eForm to create many more transactions. For example, if the same department is hiring ten student employees, they can create one Hire eForm and copy it to hire the other nine, saving a lot of data entry. These new functionalities are now part of our eForms Library, available to all GT eForms™ licensees.

The joint GT-Sierra-UBC project team brought the project from design to production, on-time and on-budget, in an amazing twelve calendar weeks. Congratulations to the team and to UBC!

A Phase II project will begin immediately to extend ePAF™ to staff and faculty employees.

A GT team began work Monday with the University of Oklahoma Health Sciences Center (OUHSC), and wrapped up Friday with a new Additional Pay eForm ready for Acceptance Testing and Production. In the one week of remote work, the GT team led discovery, and completed the design, development, unit and system testing of the new workflow-enabled eForm.

The Additional Pay eForm will allow departments to submit requests for payment to employees, even if they do not work in their administrative scope. The request is then automatically routed to both the funding department's approver and the employee's home department approver, and gets automatically entered into the PeopleSoft Additional Pay tables.

This engagement indicates just how quickly new automation solutions can be implemented with GT eForms™ and GT expertise.

GT eForms™ reduces the total number of pages that need to be built, automates creation of navigation pages, and moves approval lists completely online. Developers report that the new Visual IF functionality, which allows line-item conditions to be added to approval steps, notifications and checklist items, greatly simplify the Condition setup for complex workflow.

Building on one of the longest-running Gideon Taylor success stories, Brigham Young University has chosen to implement GT Paperless I-9™ and GT E-Verify Integration™. BYU took most of their hiring processes completely paperless in 2005 using GT ePAF™, with the exception of the Form I-9, which at that point could only be completed on paper. Using the GT Paperless I-9™, they will now break that final paper barrier.

The GT Paperless I-9™ will also be enhanced for kiosk-based use, appropriate for BYU's centralized I-9 completion process.

Like most US research universities, BYU became subject to the E-Verify Federal Contractor Rule this month, requiring that employees working on certain federal contracts have their employment eligibility verified using the Department of Homeland Security's E-Verify system. A departmental user is guided through the creation of a job posting request, which can be routed through a customized list of approvers. Upon final approval, the job posting is automatically entered into PeopleSoft's Talent Acquisition Manager (TAM) and posted to the web.

While PeopleSoft's recruiting solutions, Candidate Gateway (CG) and TAM, enjoy the advantages of close integration with the HCM system, many users have found the user interfaces cumbersome and the business processes complicated and time-consuming. Gideon Taylor's GT Recruiting initiative will replace delivered TAM and CG problem spots with easy-to-use, eForms-based front ends, enhanced with easily-configurable workflow. The job application will be among the "updated" business processes.

My company is required to use E-Verify as a federal contractor for the first time. How do I proceed?

If your company has not yet enrolled in E-Verify, then you have 30 days from the date of contract award to enroll and 90 days from the date you enroll with E-Verify to initiate verification queries for employees already on your staff who will be working on the contract and to begin using the system to verify newly hired employees. After this 90-day phase-in period, you will be required to initiate verification of each newly hired employee within 3 business days after their start date.

The latest ePAF™ implementation project got underway this week at the University of British Columbia (UBC) in Vancouver, BC. Under the direction of our partner firm Sierra Systems, the joint Sierra - GT consulting team worked with UBC subject matter experts to install GT eForms™ and ePAF™, and to conduct our proprietary Optimization and Defaulting Analysis (ODA) methodology. ODA identifies the maximum efficiencies that can be infused into a business process by exploiting the unique ways an organization uses PeopleSoft. The resulting solution will save UBC time and money through reduced human effort, much faster cycle times, easier training, less errors and paper process elimination.

We are grateful for the trust and investment made in GT solutions by one of Canada's premier educational institutions. We look forward to working together to make the project another resounding GT eForms™ success.

Our consulting team arrived today at the University of Utah to begin the first implementation of the GT E-Verify Integration™. Building on the success of the University's GT Paperless I-9™ go-live in April, the GT E-Verify Integration will automatically submit employment verification information from the electronic I-9 to the Department of Homeland Security's E-Verify system, eliminating all duplicate data entry!

When the I-9 is saved, an E-Verify case status will be returned to the employer representative in a few seconds. For a status of Employment Authorized, two more clicks will close and record the E-Verify case, and the authorization process is complete! For Tentative Non-Confirmations, the employer rep and employee will be guided through a simple, step-by-step process. We are happy to announce that the University of Oklahoma Health Sciences Center (OUHSC) has gone to Production with Phase II of ePAF™, Gideon Taylor's personnel action form automation solution for PeopleSoft.

The purpose of the project was to extend the successful implementation of ePAF™ for staff to the faculty group. The staff eForms to Hire, Job Change, report Leave of Absence and Terminate were expanded to add and update faculty administrative and secondary titles and complex salary calculations. In addition to the ePAF™ Faculty eForms, a Personal Data eForm was added for both Staff and Faculty use.

The team also developed a Security eForm that provides the departments an electronic form for requesting PeopleSoft HR security. After automatically routing for needed approvals, the eForm triggers a notification to Service Now to open and close a service ticket. This provides OUHSC an efficient way of managing security, and reduces points of entry from two to one.

During the project, the ability to insert attachments was added to all OUHSC eForms, allowing related documents to travel with the electronic form, reducing the time that approvers had to wait for paper documents to catch up with the electronic form. The documents remain permanently accessible when viewing the eForm, both during and after the approval process.

The Project Team delivered the functionality in only eleven weeks, on-time and under budget.

The University helped sponsor the initial development efforts of the GT Paperless I‑9™, which has since been implemented at the University of Houston. We are excited to see it add value to the University of Utah, replacing the currently paper process and cutting the onboarding cycle time.

Having the GT Paperless I‑9™ in place will also prepare the University to implement the GT E‑Verify Integration™, should the State of Utah's requirement to implement E‑Verify by July 1, 2009 remain in force.

GT has developed a demo version of the Invoice eForm for PeopleSoft Financials 9.0. It is the first of a suite of financial eForms that GT plans to develop.

The Invoice eForm can be populated either by core office staff, departmental staff or directly by vendors. It can also apply edits while it is being filled out, reducing error management overhead starting from the point of entry. Built on the robust GT eForms™ framework, it supports approval routing with conditional branching, participant notifications and customized views for different participants and form types. Scanned supporting documentation can be attached, routed and stored electronically with the Invoice eForm.

The Invoice eForm is part of the eForms Library, and available with license of GT eForms™. All current GT eForms™ licensees can obtain the Invoice eForm template at no additional cost.

The GT eForms™ upgrade will take place in conjunction with Wakefern's HRMS 8.3 to HCM 9.0 upgrade project. The upgrade project is being led and staffed by our partner firm, Infocrossing EAS.

Wakefern commissioned Gideon Taylor to create the first version of GT eForms™ in 2003, to automate their HR transactions. Gideon Taylor created the framework and a Termination eForm, and trained Wakefern staff. Since then, Wakefern has used GT eForms™ to build twenty-one additional eForm solutions internally.

The University of Utah compiled several data points comparing their first six months using GT ePAF™, May to October 2008, to the same timeframe in 2007. Check out their short presentation, ePAF™ By The Numbers.

One compelling outcome they measured was the change in number of overtime or compensatory time hours paid with and without ePAF™. Before ePAF™, in 2007, they paid 859 over/comp hours from May to October. For the same months of 2008, using ePAF™, that number dropped to 105 hours - an 88% decrease! This translates to tens of thousands in hard-dollar savings.

Even more impressive is that their results include the time during which ePAF™ was still being rolled out - meaning that ePAF™ lightened the University's workload even during its phased implementation!

The University of Florida engaged Gideon Taylor to help them create an eForm process in their PeopleSoft Campus Solutions 9.0 environment. The eForm manages the approval process for non-tuition-based fees for courses.

The fee structures are requested by professors and instructors, and routed through the appropriate approval process before being automatically entered into Campus Solutions. Our GT Senior Technical Consultant installed the latest GT eForms™ release, version 2.7, on the UF Campus Solutions system, completed the basic eForm design, built the routing structure for the eForm, designed the fee category setup module and conducted training and knowledge transfer, all within a two-week engagement. UF plans to use internal resources to finish the eForm.

The University of Florida has been using Gideon Taylor's GT eForms™-based product ePAF™ in their PeopleSoft HCM environment since 2006, with astounding success. On Friday, December 19, 2008, the Department of Homeland Security (DHS) granted clearance for Gideon Taylor's GT E-Verify Integration™ solution to access the Production E-Verify database. This clearance was granted after the GT E-Verify Integration™ successfully completed the rigorous DHS qualification test.

The GT E-Verify Integration™ is a pure bolt-on to PeopleSoft HCM versions 8.8 through 9.1. It allows all E-Verify tasks to be conducted within PeopleSoft HCM, drastically reducing data entry and training requirements. Gideon Taylor introduced their Paperless I-9 Form in March 2008. Now, GT has succeeded in seamlessly integrating the Paperless I-9 with the Department of Homeland Security’s E-Verify system, which validates eligibility to work in the US. GT has completed a working prototype for the integration, and is pressing forward with beta development of the integration.

When the I-9 is created online, it automatically creates an E-Verify case and returns the result. The completed system will close authorized cases, and automate the employee’s contesting of tentative negative results. For positive results, the E-Verify integration will occur seamlessly, requiring no additional effort from the employer! As the federal government moves toward mandating E-Verify participation for many organizations, GT hopes to provide clients with an efficient way to comply with E-Verify, and at the same time, automating the I-9 Form itself. After much praise during user acceptance testing, the University of Alberta completed the implementation of GT Personnel eFile. Jointly developed by GT, Sierra Systems and UofA, when ePAFs like the New Hire Form are completed online, supporting documents can be scanned and attached to the eForm. Downstream approvers can view the attachments, and using GT Personnel eFile, all of an employee’s ePAFs, their attachments, and any additional scanned documents for that person can be viewed and managed from one place. The whole paper personnel file can now be moved online, and the “paperwork” keeps up with the electronic forms!

The result will a completely paperless personnel file! GT Personnel eFile will provide multiple views, including a Historical View that blends eForms and Attachments in date order, and a Structured View that organizes the entries by type. Notes can be added and stored by authorized users. This functionality will be added to the GT eForms Library, and will be accessible without additional charge to all our GT eForms licensees.

The project deals specifically with the special needs of DCE's Youth Programs. Previous attempts to use eRecruit 8.8 for Youth Programs have been plagued with practical difficulties. Gideon Taylor will provide functional and technical resources to help DCE overcome these issues and support the unique goals and needs of the Youth Programs effort.

The project will also involve integrations between PS Recruiting and Gideon Taylor's ePAF™ solution, which BYU has been using successfully for two years. Recruiters will be able to launch into a Hire ePAF from within Recruiting with a single click.

Having successfully completed Acceptance Testing and pilot production training, the University of Oklahoma Health Science Center has migrated the GT eForms framework and their custom ePAF™ application to their Production instance.

It will be used initially by a pilot population of users who have received early product training. The first production forms have already passed through the approval process and into PeopleSoft. The initial feedback from end users has been very good, and the system is functioning as expected. The next phase of training and Production roll-out will begin November 27.

We have demonstrated, using our delivered Update Security Roles eForm, that a form can be initiated on the Financials system reading HRMS data, be sent via Application Messaging to the HRMS system, update delivered HRMS components and return the form status to the Financials-hosted GT eForms system.

The University will now consider whether to fund a full implementation project for ePAF™

The University of Alberta in Edmonton, Alberta has selected Gideon Taylor's GT eForms and ePAF™ products to fulfill their Smart Forms initiative. U of A initiated the Smart Forms project in an effort to radically improve the processing of personnel action forms on campus. Their review has found that ePAF™ meets or exceeds all of their requirements for a Smart Forms solution. The U of A is using PeopleSoft HRMS 8.3, on PeopleTools 8.22. Because of the limitations of this older Tools version, we will attempt an innovative solution where GT eForms and ePAF™ will be hosted on their Financials application, Tools 8.45, and will communicate with HRMS 8.3 through Appication Messaging and DB Link-based views. The project will start with a Proof-of-Concept phase where we will test the feasibility and performance of this approach. Gideon Taylor resources will be working through Sierra Systems, a leading consulting services provider with offices across Canada and the United States, and a preferred services provider for the University of Alberta. We are excited to be partnering with Sierra Systems in bringing our electronic forms solution to the U of A.

Starting in mid-2016, MiraCosta College has been creating eForms within PeopleSoft Campus Solutions to automate a variety of student-related processes, including financial aid requests, veterans’ letter of intent, and requests for student support services. Using GT eForms, they're building forms that walk students, faculty, and staff through processes quickly, easily, and accurately.

Goodbye, paper forms. Hello, PeopleSoft electronic forms! Following the State of Tennessee's successful automation of personnel actions and benefits enrollment eForms, Chris Harmon, ERP Module Lead at the State of Tennessee, will discuss their latest initiative: automating employee acknowledgement forms and alternative workplace requests for a 40,000 person workforce. Employees are required annually to acknowledge certain HR policies by signing and submitting forms. Additionally, employees requesting to work from home or other non-office locations are required to complete a form that includes policy acknowledgements, proposed work location and proposed work schedule. Using GT eForms™ in their PeopleSoft application, Chris will show how they're delivering forms that pre-populate with selected person, job and position data; allow for employee/manager input; accommodate conditional workflow; and automatically record information in PeopleSoft. As a result, they're saving paper, streamlining approvals, simplifying processes and reducing operating costs.​
