The Gideon Taylor team reached the Development Complete milestone today in an ambitious project to automate the part-time faculty personnel actions at Brigham Young University. These actions cover the full range of hire, contract change and contract termination.
Managing these contract-based faculty has always been a heavily manual process with many complex calculations and cross-checks. The GT solution includes extremely robust calculations to track FTE week by week across multiple contracts to insure FLSA compliance throughout the process. The solution hides this complexity from the users, giving them a simple, easy-to-follow eForm to work with.
The Hire process actually generates an electronic Contract, which is routed to collect electronic signatures from the faculty member, the appropriate Dean and the Faculty Compensation office. The Hire eForm waits to enter itself into Job Data until the Contract is complete and signed by all parties. Then Person, Job and Contract Data are all automatically entered.
When this new process goes to production it promises to completely revolutionize the part-time faculty business process, saving hundreds of hours annually, speeding the contracting process, and sharply improving compliance with regulations and internal policy.
